Job Summary

In this role, reporting to the CEO, the Executive Assistant will leverage their strong project management, communication, & hospitality, skills in Support to the CEO in partnership with company and client key stakeholders. We are looking for a creative and dedicated individual who will fit with our collaborative culture. The successful candidate will posses demonstrated experience in supporting senior level executives with the ability to influence & interact with Client and Company senior management. The Executive Assistant will be responsible for working with cross function teams of professionals who believe in creating innovative solutions to problems.

The ideal candidate should be reliable and task oriented and responsible for performing a number of administrative duties; is highly self-motivated, professional and capable of managing their workload and prioritizing tasks in a fast paced corporate environment.

Essential Duties and Responsibilities:

  • Coordinate executive communications, including taking calls, responding to emails and interfacing with clients

  • Prepare internal and external corporate documents for team members and industry partners

  • Schedule meetings and appointments and manage travel itineraries

  • Arrange corporate events such as weekly leadership meeting, leadership retreat, annual meetings, and service awards, client events & tours & corporate donations.

  • Associates communications and HR: such as birthdays, yearbook, newsletter, annual performance reviews, hospitality training and orientation.

  • Budget and expense reporting and travel approvals

  • Maintain an organized filing system of paper and electronic documents, manage org charts etc.

  • Uphold a strict level of confidentiality

  • Develop and sustain a level of professionalism among staff and clientele


  • 5-7 years relevant work experience and/or training.

  • Advanced user of Microsoft Office skills required.

  • Self-motivated, adaptable, flexible and possess desire to learn and passion to succeed.

  • Positive attitude while working effectively and efficiently with high quality assurance and success measurements

  • Takes Responsibility & pro-actively uses the right influencing techniques to gain the necessary commitment and support from others, both internally and externally while maintaining a positive attitude

  • Finds new/quicker ways of meeting goals, shows conviction in own judgement and decisions and responds quickly under pressure; Ability to work in a fast paced, changing environment

  • Pursues friendly relationships with colleagues, shares own knowledge and insight and displays a high level of energy and commitment to the organization; Ability to work independently as well as in a team

  • Excellent communication skills both written and verbal; Listens to others and values their contributions, receptive to new and builds on ideas and acts in ethical and socially responsible manner.

  • Manages time effectively and prioritizes tasks to meet deadlines

  • Ability to work at the highest levels of an organization while relating well to the general workforce.
