This is an excellent opportunity to join a fast paced and growing medical practice. This position will work part time with our COO of the practice and provide logistical support of all in house administrative functions. The successful candidate will be a high driver, charismatic, out-going, and resourceful. This individual will be responsible for accomplishing a variety of special tasks or projects from concept to completion. In addition to pre-defined job responsibilities, the Executive Assistant is someone who exemplifies the Whatever it Takes attitude. A person who is self-motivated, responsible and accountable for accomplishing pre-established and self-established goals and objectives that promote culture and growth.


  • Excellent communication, time management, and relationship skills

  • Experience in a medical office preferred but not required

He is highly regarded in his space making a positive contribution to his team and daily mission, saving lives. Being a renowned surgeon means there are a plethora of demands each day among being a dad and husband.The doctor has never had an administrative professional by his side and can&rsquo;t wait to employ that strategic business partner. He brings high bandwidth energy to every situation making the day to day nontraditional. The team tackles a variety of tasks each day from marketing with other doctors, connecting with patient care organizers, and collaborating as a team on growth initiatives. The new employee will be headquartered out of Sky Ridge Hospital and on occasion spend time at Swedish Hospital. The team is tight, and they complement one another in a way that gets stuff done. Their biggest hurdle to date is having that extension of the doctor within arm&rsquo;s reach so they can have access to his to-do&rsquo;s, calendar, objectives, and get answers. This hire will not only be instrumental just for the doctor but for the growth of the group.</p><p>&nbsp;</p><p><strong>Hiring Goal</strong></p><p>The doctor seeks a professional who is always proactive, accountable, and attentive. The position of <strong>Executive/Personal Assistant</strong> requires attention to detail, independent thinking, and resourcefulness. An established business acumen is highly desired as this person will have regular touch points with doctors and practice members. The role comes with great responsibility and requires an individual that&rsquo;s both professional and trustworthy. The right candidate will be strongly focused on providing incredible service while balancing multiple tasks for the doctor and his many responsibilities. The objective is to employ someone who can be an extension of himself and support his various platforms in creating value for all stakeholders.</p><p><strong>ROLE OVERVIEW</strong></p><p>&nbsp;</p><p><strong>Doctor Administrative Support &ndash; 60 %</strong></p><p>Daily</p><ul><li>Heavy calendar and contacts management</li><li>Correspondence both email inbox, notes, and memos</li><li>Streamline and manage to-dos to meet deadlines</li><li>Meet and greet guests</li><li>Manage and support paper transactions, both soft and hard copies, pertaining to marketing materials, strategy documents, and the like - using PowerPoint</li></ul><p /><p>Weekly</p><ul><li>Virtual assistance while doctor in surgery, i.e. proxy</li><li>Help doctor to drive team culture by conducting self in a positive, can-do way with a passion for helping people</li><li>Support patient interactions to be more efficient which entails reviewing appointments</li><li>Follow up and triage of tasks, investment relationships, consulting obligations, opportunities as well as Medical director roles within the practice</li><li>On occasion, attend meetings with doctor</li></ul><ul><li>Generate and deliver follow up emails to participants</li><li>Track tasks/obligations<ul><li>Bridge personal obligations with professional obligations and provide solutions to scheduling conflicts &ndash; see Personal Support items below</li></ul></li><li>In being technically savvy and resourceful, the role will be responsible for finding ways to consolidate responsibilities with intuitive technology resources &ndash; e.g. having access to documents needing feedback via an iPad [Adobe] vs. hard copies and/or launching Trello</li></ul><p>Monthly/Quarterly</p><ul><li>Support doctor with speaking engagements</li><li>Acquiring medical journal references and literature in preparation for talks/meetings, development of PowerPoint presentations</li><li>Assistance with social media content creation</li><li>Analysis and reporting on general practice information such as cases and volumes</li><li>Create, track, and submit time sheets and expenses for billable activities</li><li>Maintenance of memberships to societies and organizations</li><li>Ensure physician has accurate supply of all collateral for meetings and doctor interactions</li><li>Ad-hoc, design and organize joint office space (you and the doctor)</li></ul><p><strong>Personal Support &ndash; 25 %</strong></p><ul><li>Spearhead research requests to vet vendors for home projects and needs (on occasion)</li><li>Support booking travel for family vacations (3 times a year)</li><li>Research Summer activities for kids (annually)</li><li>Create a central calendar environment for family, help keep up to date (ad-hoc)</li><li>Hold 1:1 call&rsquo;s with wife to bridge family activities with business (bi-weekly)</li><li>Support tax preparation, meaning collect K-1s and income documents, scan and richly organize so you can bridge doctor to tax team (monthly/heavier during Jan-Mar)</li><li>After cadence occurs with the day to day, further personal support will be discussed, within proper parameters.
