Reporting directly to the VP of Human Resources, The Executive Administrative Assistant / Internal Communication Specialist will perform a broad scope of functions in support of the executive leadership team and the development and implementation of Marmon IEI communications. This role will provide administrative support to the President and Marmon Industrial Energy & Infrastructure's Sr. Leadership team. This includes duties and characteristics such as, using utmost discretion and professionalism, managing travel for the team and plan executive meeting logistics. Provide support to deliver projects within a specified timeline and within budget, managing Communication Process Flow. This role will ensure consistent communications about company happenings to support regular and consistent sharing of information throughout Marmon IEI working across Marmon IEI sites to ensure communications are shared, and all team members hear the same information within the same time period.

Essential Executive Administration Duties:

  • Administrative duties such as coordination of projects, scheduling of meetings, coordination of sub-contractors and client scheduling, conference rooms, conference calls, etc.

  • Manage project tasks with minimal oversight; work with team members to share information and resources; develop project materials and tools; and support the preparation of status reports for group leadership.

  • Schedule, coordinate, and organize offsite meetings for Group leadership team.

  • Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.

  • Conserve executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.

  • Notify executives and staff of deadlines to ensure timely completion of objectives.

  • Handle various travel arrangements for group leadership team, coordinating calendars, communicating appropriately to all parties on conflicts or other needs, and resolving travel issues.

  • Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.

  • Maintains customer confidence and protects operations by keeping information confidential.

  • Ensures all materials are present and working prior to meetings with internal and external participants.

Essential Communication Duties:

  • Develop and execute communication activities to support change management goals.

  • Create and implement messaging in various formats, ie; e-mail, letters, memos, videos, scripts, brochures, posters, tool kits, etc.

  • Coordinate communications across all Marmon IEI sites.

  • Liaison with Human Resources to align on critical internal employee messaging.

  • Support various human Resources initiatives by serving on teams/committees and creating necessary assets.

  • Manage communication calendar and communication detail plan (including regular updates)

  • Oversee Change Champion Group (as another communication channel)

  • Develop/utilize various communications channels.

  • Ensure all platforms are regularly updated with the most current content.

  • Compile presentation decks for Town Hall and Site Town Hall

  • Regularly update and manage the FAQs.

  • Content development and maintenance of the intranet.

  • Assist with creation of employer branding social media content.

  • Obtain and organize content for Monthly e-newsletter/paper newsletter.

  • Drive and partner with the applicable leaders on facilitating Focus Groups on a regular cadence.

Education and Experience Preferred:

  • Bachelor's Degree preferred in Business, Communications or related fields.
  • 5+ years of administrative experience, including experience supporting executives.
  • 3 - 5+ years of communications experience.

Knowledge and Skills Preferred:

  • Effective oral and written communication skills, excellent interpersonal skills

  • Strong detail orientation, analytical and general business skills

  • Efficient arrangement of travel accommodations and plan events/meetings

  • Advanced knowledge of MS Excel, Word, PowerPoint, Adobe, PowerPoint, Photoshop and Outlook.

  • Strong graphic design skills and creativity.

  • Ability to work with minimal supervision essential; ability to solve problems and make decisions.

  • Ability to maintain confidentiality with sensitive items or issues.

  • Ability to build and nurture strong relationships across all Marmon IEI sites, especially with HR site managers to ensure that communications are distributed within all sites.

  • Collaborative approach to drive engagement and adoption of change.

  • Ability to adapt to changing situations and urgent communication needs.

  • Positive and pleasant personality and manner, accustomed to constant changes in priorities and workload, deadlines that must be met routinely, and the ability to interface with employees at all levels in the organization and vendors.

  • Travel up to a maximum of 50% of time.
