JOB SUMMARY

This job supports an executive and performs a wide range of secretarial and general office duties as assigned and ensures timely and accurate completion of assignments to enhance the efficiency and effectiveness of their manager in meeting operational objectives. Incumbent's responsibilities include typing, word processing, proofreading, handling phone calls, maintaining and organizing files, copying, reviewing and distributing mail, greeting visitors, ordering supplies, scheduling calendars, and making travel arrangements. In addition, this position organizes/expedites workflow and is responsible for providing secretarial support as required to support the communication or presentation needs of the principal when not delegated elsewhere and edits documents for grammar and punctuation. Requires the continuous use of technical and business vocabulary and a detailed knowledge of organization operations, organizational procedures, and personnel.

ESSENTIAL RESPONSIBILITIES

  • Communicate effectively when interacting and responding, both written and verbally, with internal and external entities on behalf of assigned management.

  • Provides secretarial services to the Executive and assigned staff.

  • Perform typing, word processing transcribing and proofreading activities concerning correspondence, memoranda, schedules, reports, presentation materials and statistical information.

  • Maintain a communication flow by receiving and distributing correspondence via mail services or on-line communication networks.

  • Schedule reservations, meeting arrangements, conference rooms and audio/visual equipment as needed; receive visitors and telephone calls in a courteous and efficient manner.

  • Direct inquires to the appropriate staff based on an overall knowledge of departmental policies and procedures.

  • Maintain hardcopy and on-line correspondence and administrative files.

  • Compile various information and perform minor calculations as required for departmental reports.

  • Maintain other administrative records.

  • Provide telephone coverage and screens telephone calls, letters, and/or visitors, answering routine questions.

  • Review and prioritize information and inquires received for the consideration of the Executive, makes high-level contacts from both inside and outside the Corporation, and addresses and answers inquiries and solicitations, paying constant attention to formal clearance, procedural controls, and organizational sensitivity.

  • Attend selected meetings in a non-participatory manner to take appropriate notes and conserve principal's time while assuring familiarity with meeting developments.

  • Other duties as assigned or requested.

QUALIFICATIONS

Minimum

  • High school diploma or GED
  • 5 years of secretarial or administrative experience

Preferred

  • Possess excellent typing, word processing and proofreading skills as well as a working knowledge of PC word processing, spreadsheet and graphic applications

  • Possess the utmost integrity in the discreet handling of confidential information

  • Knowledge of corporate programs, policies, procedures and protocols

As needed, this Administrative Assistant will handle special projects for the VP, EHS as requested, such as coordinating special events or preparation for Executive level meetings. In addition to assisting the VP, EHS, Administrative Assistant also provides specialized support for other EHS programs such as Global Waste Management and facility Health and Wellness programs. The EAA will work closely with the other administrative assistants within the EHS/PS organization to ensure there is awareness of important activities for the function, provide cross training and back up assistance when needed Key Responsibilities * Represent in a professional manner the office of the VP, EHS with his superiors, peers, direct reports and staff. Be knowledgeable regarding the VP, EHS policies and preferences as well as those of the EHS function so as to effectively communicate regarding EHS. * Manage schedule for VP, EHS including EHS leadership teams, Product Stewardship leadership teams, Corporate staff meetings, global town hall meetings, face to face team meetings, expanded operating committee meetings, PPG Board committee meetings, sustainability committee meetings, and others. * Manage travel arrangements for VP, EHS including reservations and expenses. Coordinate site visits with regional teams. * Proofread and distribute reports including sustainability scorecard, Product Stewardship scorecard, monthly reports, weekly reports, EHS newsletters, and other communications. * Coordinate and attend EHS Leadership Team meetings, taking minutes and action items with appropriate follow-up. * Responsible for HR administrative tasks for both Corporate EHS and Product Stewardship. * Create purchase requisitions as needed and tracks spend, responds to supplier inquiries, and interacts with GSM buyers. * Coordinate the hiring of Corporate EHS contract workers. Uses Fieldglass software to approve time sheets and run reports. Reconciles invoices and allocates charges to appropriate business units. * Coordinate the update of new and refilled positions within EHS and Product Stewardship utilizing Workday tools. * Liaison/Coordinator for General Office Wellness Team and General Office Safety programs. This includes being main point of contact with Highwoods Properties for fire marshal communication, safety concerns and evacuation procedures. #LI-ES1 * 5 – 7 years of experience in an administrative support role * High School diploma required, college degree is preferred. * Strong and effective communication skills (both written and oral) * Maturity in judgement and sound/independent decision-making ability * Proficient in the use of Microsoft Office Applications as well as SharePoint * Ability to handle and be exposed to a broad range of Confidential information * Ability to work independently without close supervision and able to communicate with global group of internal and external customers and all levels of management * Working knowledge of PPG facilities, personnel, policies and procedures.
