Overview

Under standard supervision, performs high level secretarial and administrative support to management executives for one or more departments or administrative units. Contacts company personnel at all organizational levels to gather information and prepare reports. Work generally requires a broad working knowledge of departmental and company practices, policies, programs, and product line. Uses common computer programs for word processing and spreadsheets, and may use databases and graphics and desktop publishing applications.

Flexible Hybrid Work Location - 3 days in downtown Lancaster, PA and 2 days remote. (after initially training period)

Responsibilities

  • May act as coordinator of departmental projects, following up on pending details, coordinating project team activities and ensuring deadlines are met.

  • Independently researches and obtains information for complex reports and special assignments.

  • Executes special or continuous research and complex data analysis. Researches and obtains information for routine reports and special assignments.

  • Analyzes complex problems, determines approach, compiles and analyzes data, and prepares reports and recommendations for action by superior.

  • Investigates assigned critical and confidential problems using established company or department policies and practices to determine method of research, data and information requirements and analysis techniques.

  • Composes, prepares, edits and proofreads letters, reports and other correspondence.

  • Receives and responds to routine correspondence following established procedures not requiring management review.

  • Requires the ability to exercise independent judgment and employ basic reasoning skills.

  • Makes appointments, travel arrangements, meeting arrangements and coordinates complex activities between departments and outside parties.

  • Operates general office equipment such as personal computer, copier, calculator, fax or other office machines.

Qualifications

Education

High School Diploma or equivalent. Specialty: Does not apply at this level of education. (Required)

Experience

3 or more years Administrative support , or equivalent combination of advanced business school or secretarial training and job-related. (Required)

This role may perform other job duties as assigned by the manager. Qualifications Education (including licenses, certifications): * High School Diploma or GED * Associates or Bachelor's degree preferred Experience required and preferred: * Minimum of 1 year administrative support experience. 3 years administrative support experience preferred. * Experience and comfort with office equipment and software word processing, desktop publishing and spreadsheets. Google workspace experience a plus. Skill Competencies: * Excellent communication skills - both written and verbal - and the ability to communicate with visitors and employees at all levels * Ability to work autonomously * Ability to act on anticipated needs of administrative office and executive team * Effectively manage time, expectations and workspace * Comfortable adapting to new processes and equipment. * Demonstrate a high comfort working with diverse populations and an understanding of the cultural and social barriers that can exist when accessing health or health-related care. * Promote a positive team-based approach and culture.
