Responsibilities

Summary

Performs complex and confidential administrative and secretarial support for senior level executive(s) or Vice President(s) with little to no supervision.

Responsibilities

Daily Operations

  • Coordinates meetings and prepares minutes for various committees.

  • Interacts, problem solves and makes decisions with board members, administration, corporate personnel, hospital staff and clients.

  • Exercises initiative on behalf of and in best interest of Vice President/Director and department.

  • Prepares business plan, presentations, spreadsheets and grant/proposal submissions.

  • Organizes and maintains files, protocols and records.

  • Prepares budget information, which includes reviewing expense reports.

  • Monitors budget, ensuring compliance with budgetary guidelines and constraints.

  • Performs complex and confidential administrative and secretarial support.

Project Planning

  • Manages projects of moderate to highly skilled nature for senior level executive(s) or Vice President(s) and administrative team.

  • Serves as facilitator to ensure assigned projects are completed in timely manner.

  • Prepares reports, statistical data-reports and other documents.

  • Processes and mails projects.

7:00 AM starting time.

Qualifications

Minimum

  • HS Diploma/GED, college level business coursework

  • Five years administrative support experience for senior level executive

Preferred

  • Bachelor's Degree

  • Executive Admin support in a healthcare system

  • Experience with Google Workspace

Duties are complex in nature and involve access to confidential information as well as normal administrative activities such as scheduling appointments, making arrangements for meetings both inside and outside the company, making travel arrangements, typing, word processing, and coordinating activities across the several departments. This position exercises considerable discretion and independent judgment and is capable of analyzing complex information requests and determining complex trends. Additional Responsibilities: * Assists in the daily business of management, which includes general office work, scheduling, answering phones, typing letters, and sorting and distributing mail. * Performs a variety of administrative duties for management dealing with confidential and complex matters. * Coordinates the efficient operation of the office by maintaining confidential and general files, ordering supplies, maintaining manuals, and performing all other relevant duties for management. * Coordinates and completes associated new business reports. * Researches, prepares, and edit reports and presentations * Orders office supplies. * Schedules and coordinates meetings, appointments, and travel. * Keeping track/running audit reports from internal databases * Assures that all assigned projects are completed in a timely and efficient manner and follow-up is done on all administrative details. * Performs other duties as assigned. Required Qualifications * 3+ years of Administrative Assistant experience. * 3+ years of Microsoft Office experience (Outlook, Excel, PowerPoint and Word). Preferred Qualifications * 3 or years of prior Executive Administrative Assistant experience for senior management (Director level or above) in a healthcare environment strongly preferred. * Ability to establish WebEx meetings * Ability to coordinate video conference calls both with internal and external parties. * Excellent PC aptitude with demonstrated experience using Microsoft.Office Products, including Office, Word, and PowerPoint. * Superior typing skills * Superior telephone and customer contact skills. * Ability to work collaboratively with other administrative assistants both inside and outside the company. * Superior verbal and written communication skills. * Proven ability to maintain confidentiality. * Proven ability to exercise sound judgment.
