Performs broad, varied and complex administrative duties in a responsible and confidential manner, for a highly complex Emerson platform, within a very active and fast paced business environment.

Responsibilities

Handles projects of an administrative nature which require extensive confidentiality, discretion and independent judgment.

Strong ability to get out ahead of potential administrative issues when it comes to meetings and travel, and quickly understand back up plans and alternatives that keep the executive on schedule

Handles complex travel arrangements including international/domestic with visas, eVisa, global entry, flight miles, travel policy restrictions, US and Non-US nationals travel, hotel, transportation use of company jet, etc.

Strong attention to detail and ability to juggle multiple assignments and events

Requires a high degree of accountability due to the high level of interaction with Emerson and platform executives.

Schedules appointments and coordinates arrangements for travel, meetings and conferences including executive level meetings, conferences and presentations. Manages the Executives calendar coordinating with Emerson representatives as required.

Composes correspondence, prepares reports requiring information from a variety of sources and where the format is usually not defined, and conducts special projects.

Assures that correspondence properly represents company standard procedures through use of good English, grammar, spelling, punctuation and proofreading.

Communicates daily with personnel from all levels of the organization, Emerson Corporate, Emerson Business Units, and externally to complete assigned tasks.

Screens calls, letters and/or visitors. Answers routine questions, furnishes information, and directs inquires to the appropriate department.

An in-depth knowledge of Emerson's business, policies, procedures, and personnel is involved. Acts as the first point of contact to outside inquires.

Utilizes automated office equipment and is required to be proficient in the use of one or more software packages including spreadsheets and graphs.

Schedules company aircraft with Emerson Aviation Department.

Organizes and expedites flow of paperwork through the Executives offices. Responds to correspondence and requests, outlining specifics of what needs to be completed and/or instituting follow-up action.

May provide work direction to other office employees in the work group.

Job requires considerable independent judgment and initiative. Anticipates needs and accomplishes tasks without direction in most cases.

Performs other miscellaneous duties as assigned.

Qualifications

Requirements

High School Diploma or equivalent. Secretarial training and/or college education preferred
10 years of broad secretarial experience including the executive level
5 years of experience supporting C-suite executives

Deals with information of a highly confidential nature. Duties and Responsibilities: * Supports the management functions within the Finance Division and communication with CFO's direct reports. * Manage CFO's daily calendar and make decision on meeting priorities by scheduling, rescheduling or declining meetings to support workflow needs. * Coordinate flow of daily work through the CFO office: signatures, invoices, preparation for meetings, monitor and review incoming email, delegate tasks to staff when necessary, and respond to requests. * Prepare Finance Division workflow calendar for CFO's direct reports consisting of: agency meetings, staff meetings, board meetings, work completion deadlines, and production of financial reports. * Responsible for the monthly, quarterly and annual disclosure requirements relating to our funding sources. Compile reports from various departments and prepare financial reports for final production and distribution. Upload documents to disclosure agent as needed. * Communicate with Metro Board of Commissioners and other Senior Staff in planning the Finance Committee meetings. In charge of scheduling the Finance Committee meeting and preparation which includes: the review and editing of agenda items of a highly confidential matter, and organizing and preparing complex meetings materials for printing and distribution. Responsible for taking meeting notes and preparing meeting minutes for the record. * Interacts with City and County officials to coordinate meetings and prepare meeting materials. * Composing, typing and proofing complex correspondence and presentations using Word, Excel, and PowerPoint software. * Compiles, transcribes and distributes minutes of IBEW Pension Committee Meeting, and Finance and Administration Meeting * Order office supplies, copy paper and toner for the Finance Division and maintain procard accounts and record keeping via Procurement system. * Make travel arrangements for staff and compute expense reports. * Set up webinars for staff training. * Update division policies and procedures as needed in PPM system. * Maintain emergency contact information and call tree for division and lead emergency drills for staff. * Coordinate special meetings with outside firms and accommodate their business needs. * Report maintenance issues for office building, printers and copiers. * Handle staff complaints and problem solve. Required Skills * Experienced in establishing work priorities and procedures critical to the timely work completion. Must have strong organizational skills and be detail-oriented. * Comprehensive knowledge of administrative support. Skilled in the use of various office equipment. * Must have the ability to work independently and make decisions. * Effective written and verbal communication skills. * Handle complaints. * Resolves problems and issues related to scheduling conflict, committee meetings and work products * Effectively deals with sensitive, highly confidential issues. * Works well under pressure. * Must be responsible and self-motivated. Experienced in composing, proofreading and editing. * Minimum typing requirement of 50-65 wpm preferred. Required Experience * 5+ years as a Professional Secretary or Administrative Assistant preferably supporting Executive or Senior Management. * High School Diploma or GED required.
