This position provides critical adminstrative support to the Chief Technology Officer and Product Development organization.
Manage and coordinate the daily, weekly, and monthly schedule and calendars for the Chief Technology Officer.
Manage expenses and office purchases with P-Card through Concur.
Event planning for small and large groups including scheduling, collaborating with other departments ordering food and supplies, and preparing agendas and assembling materials.
Create meeting calendar, reserving conference rooms and send notices for all team meetings, etc. using WebEx.
Perform all scheduling/administration for local/domestic and international trips, visas, passport renewals, security, and company planes.
Compose letters, answer routine mail; create presentations using Excel and PowerPoint.
Light accounting work such as check requests, purchase orders, approvals and payment of invoices, communication with vendors regarding invoicing, purchase orders and returns.
Answer, screen, and refer visitors and telephone calls; researches technical requests from other teammates and customers.
Perform general filing with knowledge of alphabetical and numerical filing procedures.
Generate monthly reports.
Input prescribed data into various online systems, including work orders, and other specialized information; enters data and information in various databases and computer systems.
Communicate clearly and effectively both orally and in writing. Understand and follow written and oral instructions. Prepare clear, accurate, and concise records and reports.
Establish and maintain effective working relationships with staff, customers, and others encountered in the course of work.
Occasional support may be needed for Product Development leadership team activities and coordination of community events.
Required: Minimum of 10 years of executive administrative experience, or 6 years with a Bachelor's degree in Business or related field. Must be highly proficient in Microsoft Office applications and possess strong organizational and communication skills. The ability to manage confidential information and a high degree of professional is essential.
Preferred: Bachelor's degree in Business or related field in addition to the requirements stated above.
