Position Summary:

The Executive Administrative Assistant performs varied and complex administrative support services, which require knowledge of hospital policies, procedures and the use of independent judgment, discretion, diplomacy and initiative. The Executive Administrative Assistant assumes overall responsibility for smooth, effective and efficient office operations.

The Executive Administrative Assistant maintains professional and effective working relationships with all members of the Health Care Team. The Executive Administrative Assistant will elevate the patient experience in every interaction

Duties (included but not limited to):

Ability to function in a fast paced office work environment with high phone and face to face interaction. High typing and computer interaction. Multi-tasking, sitting, light lifting, some

  • bending, some stooping, and walking in a controlled environment

  • The ability to handle rapid changes in the work environment in a functional, flexible, and professional manor

  • Ability to work/communicate effectively with various levels of leadership

  • Track and maintain all contractual agreements for the facility, notify the appropriate Director when a contract expires.

  • Manage the facility event calendar

Knowledge, Skills & Abilities:

  • Excellent interaction skills, with the ability to work with all types of people in a professional environment

  • Must be able to type in excess of 60 WPM

  • Solid knowledge of Microsoft Office products and resent upgrades

  • The ability to handle multiple tasks at once and maintain a professional attitude in the process.

  • The ability to take directions from multiple managers and manage multiple calendars and schedules.

  • The ability to function with little direction or input from your supervisor.

  • Offer solutions to work related challenges and follow through.

  • Have an understanding of basic office equipment such as fax machines and copiers.

  • Periodically provide creative input related to presentation materials

EXPERIENCE:

  • Five (5) years' experience as an Executive Assistant supporting high level executives

  • Proficient computer skills in multiple applications including Word, Excel, Power Point

  • Demonstrated excellent communication skills, ability to interact with a variety of individuals and consumer groups

  • Healthcare experience preferred

EDUCATION:

  • College Degree Preferred

  • Notary Preferred

Essential Duties and Responsibilities Monitors and coordinates departmental activities and resources including work crew personnel. * Coordinates emergency and pre-arranged activities to provide line crew support/field support for system restoration and scheduled maintenance. * Support efforts to identify, implement and track various maintenance and capital programs and expenditures in area of responsibility. * Prepares and coordinates bid proposals for outside contractors. * Provides timely and accurate reporting and analysis of field activities to senior management as needed. Serves as primary customer contact for information on outage schedules and procedures. Assists in the department planning and budgeting process by identifying and justifying tool, equipment and personnel requirements. Evaluates and recommends process improvements and integration of technologies to promote efficiency and cost-effectiveness while maintaining a commitment to safety and customer satisfaction. May be required to perform Duty Supervisor responsibilities including vehicle accident investigations and administering the Post-Accident Testing Policy. Ensures all compliance aspects of position are known and followed; understands and complies with all policies, codes and regulations applicable to position and company. Requirements Essential Education, Skills, and Environment Education and Work Experience Bachelor's degree in engineering or related field from an accredited school (or) journeyman lineman certification and 3-5 years of related work experience. Candidates that do not possess a bachelor's degree (or) journeyman lineman certification must have 7 years of related work experience. Specialized Knowledge and Skills Demonstrated knowledge of utility line construction, operating, and maintenance practices and industry concepts and standards. Demonstrated knowledge of applicable safety and compliance regulations affecting the area of operation. Demonstrated organization and time management skills. Demonstrated skill to communicate effectively with a diverse population. Equipment and Applications PCs, word processing, spreadsheet and database software. Work Environment and Physical Demands General office environment. May be required to lift small tools or office equipment up to 25 pounds. May require travel to customer sites within the service area and participation in a rotational on-call schedule.
