Job Description:

Summary:

The Exams & Grading Coordinator provides guidance within the Office of the Law School Registrar covering the day-to-day functions of exam & grading preparation, administration, policy, as well as various support obligations of the department as needed.

The incumbent will coordinate the administration of fall, spring, summer and examinations, including in-class and take-home examinations and midterms, all aspects of scheduling proctors, non-native English Speaking students (NNES), deferrals, quality control, processing, and following up on grade submissions.

This position interacts directly with faculty and collaborates with representatives of the Office of Academic Excellence, the Office of Academic Affairs, the Office of Registrar, the Office of Student Affairs, Associate Director of Disability Services, the Copy Center, and the Faculty Honor Code Prosecutor to plan and facilitate examinations and grading, as well as provides feedback on current policies and procedures in order to improve processes.

Essential Functions:

  • Exam Administration: Manages Exams Administration Team with submission of exam files, distribution, and collection of exams and test materials from faculty and administrators, creation of online exam test sites, and coordinating the return of exam answers to faculty. Assist with proctor assignment, rooms, and scheduling throughout the exam period. Coordinate the Exam Deferral and Non-Native English Speaker (NNES) accommodations process, including updates to the application form for students and scheduling of eligible students. Serve as an exam co-lead during the exam period, including coordination of proctors, troubleshooting student and exam room issues, assisting with student issues on take-home exams, and escalating issues to the Registrar or Dean of Students.

  • Grading: Assist with process of collecting grades after exam periods. Send reminders to faculty regarding missing and in-progress grades. Maintain contact with students receiving exam deferrals and coordinate their completion with Student Affairs and Disability Services. Assist with grading portal setup and maintenance by activating new semester and applying grading policies to courses. Collect and submit via Colleague manual grades for yearlong clinics, journals, competitions and other final grades submitted by faculty. Assist with troubleshooting faculty issues with WCL Grading Portal, and forwarding issues for appropriate helpdesk assistance.

  • Program Support: The candidate will be the first point of contact answering both staff and students questions about exam & grading policies, procedures, and schedules. Candidate will field phone and email inquiries and manage logistics before, during, and after exams.

Position Type/Expected Hours of Work:

  • Full time - 35 hours per week.

  • Non-Exempt.

  • The position is hybrid requiring 3 days of on campus presence and 2 days of remote work during the majority of the year.

  • This is a union-eligible position.

  • During the two week exam periods in early May, early August and mid December, will be expected to work on campus daily, and may be required to work some evenings. Daily schedule will be altered to accommodate later evening shifts.

Salary Range:

  • $58,000-$63,000/year, commensurate with experience.

Required Education and Experience:

  • High school diploma or equivalent.

  • 1-3 years of relevant experience.

Preferred Education and Experience:

  • Bachelor's degree.

  • 2-4 years of relevant experience.

Additional Eligibility Qualifications:

  • Experience working in an academic and/or professional administration environment.

  • Proficiency in Microsoft Office Suite - including Teams

  • Experience working with and maintaining databases and information management systems.

  • Demonstrated ability to multi-task, and work with diplomacy, courtesy, flexibility, and efficiency in a fast-paced environment with limited supervision.

  • Must be able to establish and maintain effective working relationships with staff members.

  • Ability to exercise discretion in the handling of sensitive and/or confidential information.
