At the forefront of medical discovery as it relates to understanding the causes of obesity, diabetes, cardiovascular disease, cancer and dementia, Pennington Biomedical Research Center is a campus of Louisiana State University and conducts basic, clinical and population research. Job Description:
Pennington Biomedical Research Center, a world-renowned academic research institute of Louisiana State University, is seeking an Events Coordinator in the Division of Scientific Education.
The Coordinator/Specialist
Major Responsibilities
Meeting & Event Planning, Logistics, and On-Site Coordination
Coordinate facilitating services for events including venue selection and reservation, accommodation and transportation for participants, seating, catering, signage, displays, audiovisual, special needs requirements, printing, and communication with event security. Determines objectives and requirements for events included but not limited to meetings, conferences, and conventions.
Inspects event facilities to ensure that they conform to event or meeting requirements. Coordinates setup and breakdown of meeting and/or event space, as needed.
Coordinates the development of programs, agendas, budgets, and services according to event requirements.
Liaise with vendors, suppliers, and stakeholders to ensure timely and accurate delivery of services.
Collaborates with the marketing team to create effective advertisements for each event and when necessary, crafts marketing materials for printed or digital event advertisements.
Fundraising, Marketing, and Reporting
Conducts short- and long-term planning and management of scientific events.
Works with center and marketing/communications staff to develop, update, and maintain website content, registration, marketing campaigns, ads, promotional items, and logos.
Assists with meeting and event financial operations such as submitting fundraising applications, communicating with the foundation regarding checks for vendors, and submitting reimbursements.
Required Qualifications
Bachelor's degree in business, marketing, communications, public administration, or similar field.
Minimum 3 years of experience with event or meeting planning/coordination, fundraising, marketing, or on-site execution of events.
Ability to provide on-site assistance with events, which will include a few times outside of the normal work hours (typically 3-4 weekend days per year) and possible travel.
Excellent written and oral communication skills, as well as interpersonal and organizational skills.
Highly organized, customer-service oriented team player with exquisite attention to detail.
Preferred Qualifications
Experience developing content for or designing ads, flyers, websites, social media, promotional items, email communications.
Experience using learning management software (LMS) and event planning software.
Experience with Microsoft Suite, including OneDrive, OneNote, SharePoint, Project, and Planner.
