EVENTS PLANNING ASSISTANT 2, Center for Transportation and Logistics (CTL), to assist with planning and coordinating high-profile events, including developing invitation lists, confirming attendees, ordering refreshments, and performing other administrative or analytic tasks. Responsibilities will include serving as an information resource for policies surrounding events and/or room use; identifying and coordinating with internal/external service providers, e.g., space, equipment, audio/visual, video capture, catering, parking, hotel service, lighting, dcor, cleaning, furniture and moving services, transportation, security, parking, signage, etc.; attending and welcoming guests at events, overseeing event logistics, and addressing any problems that may arise; drafting and proofreading general event correspondence and promotional materials, possibly updating website content; collaborating with event host/program manager/executive director to provide cost projections and establish timelines for events; prioritizing the requirements of multiple events in various stages of planning; working with staff, faculty, and vendors to determine staffing needs and delegating tasks; working with a variety of providers to identify and resolve potential problems prior to, during, and after an event; reviewing, processing, and confirming registrations and serving as point-of-contact for participants and speakers; updating event gateway and FAQ pages on website; collecting and preparing photos/bios for distribution at events; working with out-of-state counterparts to arrange dinners/meetings/transportation for off-site events; collecting event materials to ensure timely publication and distribution; data entry and primary responsibility for maintenance of the Salesforce database, including adding students; and performing other duties as assigned.

VIEW JOBS 1/17/2020 12:00:00 AM 2020-04-16T00:00 Oxfam America Job Description TITLE: Supporter Events Assistant DEPARTMENT: Direct Marketing LOCATION: Boston, MA REPORTS TO: Associate Director, Individual Giving and Engagement and Resource Development COORDINATES WITH: Individual Giving and Engagement Team, Donor Services, Design and Production Department, external vendors PURPOSE OF POSITION: The purpose of this temporary, part-time position is to support the Events and Engagement Development Officer and the interdepartmental working group tasked with executing Oxfam's supporter conference, Oxfam Connect in June 2020. This position is hourly and requires an average of 20 hours of work per week (morning or afternoon) over a 6-month period from January – June and will be based in the Boston office. PRIMARY RESPONSIBILITIES: * Under direction of Associate Director and in coordination with Events and Engagement Development Officer, manage the logistics for speaker travel planning and vendor contact for Oxfam Connect * Coordinate with Senior Designer and working group members in supporting the organization of event materials. * Participate in the presentation review committee, creating and managing the event's master PowerPoints. * Attend biweekly working group meetings, rotating in the note-taking role. * Contribute to day-of event needs such as participant experience QUALIFICATIONS: Experience and Core Competencies: Required: * One to three years of relevant work experience in event support or planning. * Strong ability to communicate with people through email, over the phone, and in person. * Proficiency with Microsoft Office suite, particularly PowerPoint and Excel. * Strong time management and organizational skills. * Ability to work well under pressure to meet deadlines. * Ability to use discretion, confidentiality and sound judgment. * Ability to work increased hours as needed in the month of June 2020 and attend the event itself on June 25 and June 26, 2020 Preferred: * Experience working in an international development or social justice organization. * Experience in booking travel itineraries and accommodations Oxfam America Boston MA
