The Events Planner will be part ofa highly collaborative team assisting in the planning and execution of StanfordGSB events, such as high-profile speaker visits, academicconferences, and student-facing educational opportunities. This role willassume responsibility for many facets of event management, including eventregistrations and attendee tracking; oversight and maintenance of inventory ofevent supplies; presentation and materials support, including production ofname badges, signage, attendee lists, and agendas; and day-of event support;the job will also entail independent management of several small events, andproviding additional administrative support as necessary. The Events Plannerwill need to exercise judgment regarding how to prioritize tasks in the face offrequently shifting priorities, and when to delegate certain jobs to studentworkers or other staff. The ideal candidate haspast experience working in a customer service environment. He or she also hasexcellent judgment, integrity, flexibility, and creativity as well as apositive attitude, the ability to collaborate and consult, and a good sense ofhumor.

Your primaryresponsibilities include:

  • Serveas a member of an events team, and contribute in a wide variety offunctional areas including decisions around budget allocation, eventlogistics and facilities.

  • Design,plan, implement, and coordinate customized events.

  • Evaluateand select vendors and providers of services considering stakeholderrequests and requirements.

  • Consultwith stakeholders to determine objectives and requirements.

  • Inspectevent facilities to ensure they conform to the event needs.

  • Manageaccounting and reporting operations relating to registration, includingdaily accounting procedures and reports, final monetary summaries, and/oraccount transfers.

  • Mayserve as project leader on smaller scale events, coordinating teams thatplan, implement, and manage all aspects of events or manage programelements of larger scale events.

  • Utilizeand/or maintain complex databases. May use specialized event planningsoftware.

  • Mayinspect event facilities for maintenance, janitorial and fire safetyissues.

  • Managethe creation and placement of event signage throughout Stanford's campus.

  • Performadministrative tasks such as printing name cards and signage, organizingand maintaining event inventory, and assisting with event set-up andtear-down.

  • Beflexible to completing any other additional assigned duties.

To be successful in this position, you willbring:

  • Associatedegree and three years of relevant experience or combination of education andrelevant experience.

  • Demonstratedsuccess planning events.

  • Abilityto work both independently and as part of a team.

  • Abilityto establish priorities, manage shifting priorities, and handle numeroustime-sensitive projects with multiple deadlines.

The people and programs comprising Stanford Radiology are world-renowned. Stanford Radiology continues to push the boundaries of innovation in physics and engineering to develop cutting-edge methods for enhanced anatomic and functional imaging. Our diverse multidisciplinary teams of scientists, together with industry collaborators, are creating new methods for the early detection of cancer using molecular imaging, nanotechnology, and systems biology. They also continue to develop improved and more targeted methods for least-invasive, and compassionate cancer patient care. Ultimately, Stanford Radiology plans to play a very important role in the development of personalized medicine by moving advances from the laboratories to the clinic for improved patient-centric care. The Department of Radiology is seeking a highly motivated and self-directed Events Planner 2 to plan and execute events. The Department of Radiology has about 13+ divisions with approximately 80+ faculty and typically host 30+ events throughout the year. The Event Planner will supervise an Events Coordinator. S/he will partner with various faculty and managers with planning events and will be responsible for managing all the logistics (budgeting, marketing, planning, and execution). The department hosts many large and small events throughout the year (ex; Annual Department holiday, CME Grand Rounds, Alumni events, Special Lectures, and various seminars and conferences). The candidate will provide on-and-off site event support and must be willing and able to work evenings and occasional weekends as required. Duties include: * Initiate and lead meetings with stakeholders to plan scope and format of events, establish and monitor budgets, and/or review administrative procedures and event progress. * Serve as project leader on specific events, coordinating teams that plan, implement, and manage all aspects of events such as: marketing, vendors, fan experience, ticket office, concessions, press and/or media. * Responsible for budget planning and management, venue management and equipment and facilities management for specific events. * Oversee development of registration strategy and logistics. * Build and maintain relationships with internal and external partners. * Procure and coordinate vendor services. Negotiate vendor contracts to minimize liability and risks. * Research and provide recommendations for potential event locations, and evaluate alternatives. * Investigate, document and report complaints regarding all aspects of events including customer service, crowd control and staff issues. * May inspect event facilities for maintenance, janitorial and fire safety issues, ensuring enforcement of Environmental Health and Safety and other facility regulations. Arrange for correction if issues are found. * Communicate with visiting entities such as vendors, teams, coaches and officials for assigned events. * - Other duties may also be assigned. EDUCATION & EXPERIENCE (REQUIRED): * Bachelor's degree and three years of relevant experience or combination of education and relevant experience.
