Job Function:
To create, cultivate, and manage social events at Ocean Forest including holidays and club sponsored events. This includes collaboration with the F&B Leadership team by ensuring a high standard of appearance, hospitality, service of staff, and cleanliness of all dining outlets. Maintains liaison between members and the Club by working with each department within the Club as to their specific role in the pre-planning, execution, and service of events. Maximizes revenues and controls expenses through effective negotiation of services and accurate forecasting. Promotes the Ocean Forest Club legacy of warm and genuine hospitality while upholding and ensuring compliance with all company and departmental policies and procedures.
Use of Company Vehicle: Not designated to drive a company vehicle.
Minimum Requirements:
Minimum of two (2) years hotel catering sales and/or event coordinating experience required
High School Diploma or equivalent credentials
College degee preferred
Excellent communication skills, both written and verbal
Proficient in Windows XP and Microsoft Office software applications such as: Teams, Word, Excel, PowerPoint and Outlook
Opera experience strongly preferred
Must have ability to courteously present information to people in one-on-one and group situations
Thorough knowledge of Food & Beverage, function set-ups, and front office procedures
Goal oriented team player with an aptitude for developing business
Aggressive/detail-oriented individual who can prospect new business and meet budgeted sales goals with proven closing skills

Must uphold and ensure compliance with all company and departmental policies and procedures
Must be flexible to work early mornings, days, evenings, weekends, and holidays
Tasks/Responsibilities:
Maintain complete knowledge and comply with all company and departmental policies and procedures
Pursue new member business to increase social revenue
Partner with the F&B Leadership team to create an active member event calendar, driving membership community and club appreciation
Attend designated meetings to include site and planning visits as well as BEO, resume meetings and menu tastings
Follow company and department policies for contracts and payments
Coordinate with the Ocean Forest Executive Chef and Food & Beverage Manager on all events and when appropriate, work with the Sea Island Events Team on event support and management
Work closely to support the Clubhouse F&B team during times of slower catering periods, to include dining room oversight, opening and/or closing of the dining room, and assistance as needed for busy periods of dining room business
Guarantee that all functions are detailed accurately on BEO's and Resumes, adhering to a two-week communication via BEO meetings and maintenance of a 45-Day Detail Report and the yearly Calendar
Develop and maintain event contract process for all events
Maximizing all event revenues and controls expenses through effective negotiation of services and accurate forecasting collaborating with the Clubhouse Manager to adhere to the yearly budget
Monitor changes to BEO's and Resumes and ensure that accurate information is communicated to respective departments on a timely basis in order to provide the best service
Ensure files are kept organized and current with all required information
Ability to not only sell, but service all events and functions within the club
Review and provide estimated guarantees and ensure final guarantees are obtained three (3) business days prior to scheduled functions
Check room set-up prior to event to ensure all details are in agreement with the requirements
Collaborate with the Clubhouse Manager to confirm if events are acceptable to close restaurants within the club
Follow-up with contact regarding any feedback about the event and/or billing questions
Learn the names and personally recognize our Members
Record and bill orders accurately into the register system and process payments using guest/member cards in accordance with accounting procedures
Uphold appropriate departmental standards and company policies
Maintain a thorough knowledge of current guest services, activities, dinning options, shops, local attractions, and historical information regarding Sea Island and the surrounding area
Report all equipment problems and maintenance issues, known safety hazards or unsafe practices and procedures to supervisor immediately
Willing and timely execution of other duties as delegated by leadership
