Specific Job Functions:

  • On-Site Events

o Manages vendors onsite during scheduled events, ensuring site rules/regulations are being abided

o Advise client and vendors on approved floor plan for furniture, food and beverage, event lighting and entertainment

o Supervise load-in, installation and load-out of vendors and equipment

o Follow the load-in schedule and ensure event preparation does not interfere with the site's normal functions during public hours

o Coordinate and communicate event logistics with site team members and vendors

o Oversee safety of guests, vendors, staff and the building (checking egress and ensuring cables are taped, etc.)

o Act as an on-site liaison for clients and vendors

o Problem solve during production setup/tear down and event duration to manage guests, clients, and vendors to deliver a positive experience

o Ensure proper OSHA, fire marshal, and public health regulations are followed

o Manage/Direct in-house janitorial and security staff

o Supervise power runs and have a working knowledge of electrical panels, fire suppression and alarm systems

o Manages event tear down ensuring building is left in broom clean condition, client and caterer walkthrough has been conducted and coordinates with in-house security and janitorial personnel for cleaning and closing the building

o Proactively work to ensure clients have a positive experience working with the Events Department

o Availability to work nights/weekends is a prerequisite

o Any additional duties as assigned

o Ability to coordinate on-site event production, sales and activities in absence of the Events Manager

  • Administrative

o Function as a liaison between our team, property management and client

o Create and maintain detailed event timelines and checklist

o Responds to in-person, phone and email event requests from clients in a timely manner

o Produce weekly event memos, run of show and Beo's as requested

o Complete correspondence including emailing, mailing and phone calls for the team

o Supervise and schedule all event staffing including janitorial, security, and lighting vendors

Job Qualifications, Education and Experience:

o High school diploma or equivalent

o 3 - 5 years experience in coordinating events and working with staff, vendors, clients and other participants

o Flexibility in working hours, as social events may require weekend and evening availability

o Customer-service oriented

o Organized, detail oriented; demonstrated maturity in judgement and actions.

o Passionate about providing exceptional service

o Calm under pressure, ability to direct staff, guest, and vendors in a level-headed manner in an emergency

o Excellent problem-solving skills

o Excellent verbal communication skills; tact and diplomacy in dealing with people and handling difficult situations

o Has a proven record of dependability and punctuality

o Ability to stand for extended periods of time

o Ability to lift 50 lb.

o You'll have a proven track record of results as we'll expect you to act decisively, think big, and manage your time to meet deadlines in a fast-paced, high-volume environment. Most importantly, you'll want to contribute to a diverse, supportive, and talented team
