Burr & Forman LLP, a 350-lawyer firm with 19 offices in eight states, has an immediate opening for a full-time Events Coordinator to be located in our Birmingham, AL office. The successful candidate will be self-motivated, confident, and a diligent, detail-oriented project manager.

This is a great opportunity to make an impact at a growing firm; the role of the Events Coordinator is client-facing and central to the marketing department's core services. Teamwork and collaboration are crucial, as is a service-minded orientation and ability to operate successfully in a fast-paced environment.

The position requires travel across the firm's footprint for certain signature events in order to ensure excellent execution. Example events include large onsite and offsite legal seminars, key client social events, and virtual webinars. The Events Coordinator maintains and refines formal events processes for a consistent experience firmwide. The position will also be responsible for various other marketing activities, such as coordination of rankings and directories and updating the firm's intranet.

Marketing Event Support

  • Coordinate, manage, and execute all logistics for external marketing events. This will include direct communications with attorneys, occasional work outside of normal hours, and travel across the firm's footprint. Specific events responsibilities include:

  • Drafting the event brief, including expectations, budget, and scope.

  • Coordinating event invitation and mailing list with attorneys and fellow marketing team members.

  • Managing onsite logistics for in-person events and remote set up for virtual events.

  • Drafting post-event surveys and ensuring appropriate follow up.

  • Oversee and monitor the budgets and expenses for all events.

  • Maintain and distribute the marketing event calendar.

  • Leverage data on attendees and report monthly on results.

  • Manage the firm's client entertainment opportunities, e.g. sporting event tickets.

  • Plan client visits, dinners, and receptions.

  • Oversee and manage the firm's internal "event support network" and utilize as needed.

  • Establish and enhance relationships with preferred vendors.

Marketing Administrative Assistance

  • Coordinate the firm's response to and promotion of targeted rankings and directories.

  • Assist in PR activities including event promotion and content for the website.

  • Manage several significant firmwide client communication projects, including client gifts.

  • Assist in various marketing administrative tasks.


  • Prior event management experience preferred.

  • Experience in a corporate or professional services environment.

  • Working knowledge of Microsoft Office and Zoom.

  • Excellent interpersonal skills to provide great client service and handle sensitive information. Requires demonstrated poise, tact, diplomacy, and professional appearance.

  • Analytical ability is required in order to gather and summarize reports, find solutions to various event, process, and information problems, and prioritize work.

  • Ability to understand the work ethic and management style of firm leaders in an effort to be proactive and ensure great team performance.

  • Continual attention to detail in composing, typing, and proofing materials.

  • Must be flexible, demonstrating the ability to adapt easily.

  • May include periodically working around standard work hours to meet demands.

  • Bachelor's degree is required.

As a Specialist, Leadership Events, you will work to help ensure the assigned revenue portfolio reaches budgeted revenue. Portfolio includes Leadership Events in multiple market across the country: Dinner of Champions, MS Luncheon and/or other events as assigned. You will assist with these and/or other events with guidance from other event leads and in partnership with Market Leaders in multiple markets. You will be responsible for recruiting, training and partnering with volunteers to meet and exceed event campaign goals in all these areas. Essential Function/Responsibility Generates a defined revenue in Leadership Events revenue while providing leadership, accountability and direction for volunteer team throughout the assigned event revenue portfolio (80%) * Responsible for executing campaign plans, fundraising goals and objectives that support Society strategies. * Manage the implementation of fundraising plans ensuring that adequate resources are provided to successfully accomplish goals and objectives. * Manage, in conjunction with Market Leaders, a defined budget for assigned Leadership Events ensuring that revenue and expenses are effectively tracked, managed, and adjusted throughout the fiscal year as indicated or needed; provide progress reports and revenue/expense projections to supervisor. * Use market research, industry, and competitive data to analyze to contribute to future direction to increase fundraising. * Responsible for assistance in establishing, cultivating, and securing strong relationships with corporate partners and individual donors. * Create and maintain Donor Drive and GiveSmart sites including auction, P2P Champion pages, email communication and text communication with attendees. * Assist with collateral including scripts, night of PowerPoint presentations, email invitations and communications and mailed invitations and communications. * Secure and manage logistical details for events including locating and securing venue, managing vendor contracts, and submitting contracts for review and payment. * With input from the Market Leader lead seating and table mapping for events * Assist and prepare for Volunteer Committee meetings and present as needed. * Provide reports for donor and sponsor follow-up post-event, partner with Market Leader on reaching out to donors and express gratitude, ensure all outstanding sponsorship, donation and auction payments are received and work to create an auction item pick-up process. * Lead the event reconciliation process but pulling reports and completing the 20-40-60 receipting process. * Ensure high-end customer service for the Society's contributors. Collaborate effectively with all Society departments to achieve development goals (10%) * Engage with staff and volunteers to keep market strategies and initiatives in line with organizational priorities and to develop personal and team strengths and leverage continuous learning opportunities. * Collaborate with the Individual Giving and Major Gift Team to ensure a unified approach to major donors who are also event participants or corporate sponsors. * In collaboration with the market leadership team, individual giving/major gift team, and corporate team, support and cultivate relationships with donors, sponsors, and vendors. * Work to ensure that proper mechanisms are in place to appropriately receive and account for donations and expenses. * Work to ensure that all donor records are accurately recorded into the national database and to facilitate donor recognition. Facilitates Volunteer Engagement for fundraising and event experience in the assigned event revenue portfolio (10%) * Increase the number of Society volunteers focused on Leadership Events by recognizing and recruiting talent. * Support engagement of volunteers through meaningful and impactful work that is well defined and structured by employing the strategies, tools and resources in their local market. Estimated compensation range for this role is $34,000 - $39,500.
