Job Overview

Oliver Wyman is seeking an Events Coordinator to provide planning support for local and regional events. In this role you will report into the Regional Events Manager and assist with department wide initiatives to ensure successful planning and management of events.

Key Responsibilities

  • Daily tasks include researching venues and suppliers, reviewing vendor contracts, prepare destination comparisons with pricing, support on event logistics, and other event management related tasks.

  • Support OW Global Events Team, Regional Events Team, Office Leaders, Partners and Local Social Committees to lead, organize, and support events including:

  • Local Social Activities i.e. holiday parties, volunteer outings, etc.

  • Local Offsites

  • Practice Events and Meetings

  • Client Meetings

  • Partner Meetings

  • Work with Planners to finalize venue space for events including site visits, contracting vendors and other event related needs (entertainment, food & beverage, accommodations, transportation etc.)

  • Manage the production of event materials including communications i.e. invite design, RSVP lists, name badges and signage.

  • Conduct flight analysis and manage travel logistics including confirmations and manifests

  • Track costs ensuring accuracy and keeping within budgetary requirements

  • Process payments upon program completion

  • Organize agenda and program details for events

  • Assist Events Team in efforts to ensure local office social events and offsites are compliant with firm wide standards and policies

  • Work with Event Managers to track local office monthly spend, ensure local coordinators reconcile expenses, develop forecasting, and track accruals

  • Work with the Regional Events Manager and Global Events Team on department wide projects and flagship firm wide events

  • Support the build and maintenance of event registration websites and event applications

Experience Required

  • Minimum of 1 year of event planning experience required

  • Bachelor's degree preferred

Technical Skills

  • Proficiency with MS Office PowerPoint (advanced, Excel (advanced) and Word

  • Experience with meeting management software such as "Cvent"
