The Events and Alumni Relations Coordinator will participate as a valued member of the Advancement Office, reporting to the Advancement Services Director. As an integral part of the College's advancement program, the Coordinator will provide support for significant events and dynamic alumni relations initiatives. A proactive and collaborative professional, the Coordinator is responsible for the production and management of alumni and benefactor events through collaboration with faculty, staff, and College leadership. Occasional evenings and weekends will be required to support event management.

Responsibilities

Events

  • Lead all aspects of event coordination, logistics, print and digital communications, and post event evaluations/debriefs for a variety of alumni engagement and benefactor events, including the Alumni Awards, reunions, and other college related events.

  • Develop and secure all event requisitions for event setup, catering, event décor/linens, and equipment/technology requirements.

  • Work with campus partners to coordinate event logistics, including the President's Office, Admissions, Academic Affairs, Athletics, Mission Values & Inclusion, Reservations, Marketing, Technology, and communicating with Campus Leadership.

  • Prepare event materials, including invitations, save the dates, programs, stewardship pieces, nametags, signs, gifts, registration table needs, and post event follow up materials.

  • Utilize Blackbaud donor software to create event registrations, track guest lists, and maintain key information related to guests.

  • Partner with internal staff to meet overall goals of the Advancement team.

Alumni Relations

  • In partnership with the Director of Annual Giving & Alumni Relations, implement strategic communications to advance alumni program objectives through a multichannel approach of communications and special events, while assuring appropriate messaging, style, quality, content, and presentation.

  • Provide exceptional customer service by immediately addressing alumni concerns, needs, and requests, and effectively responding to alumni questions.

  • Manage alumni online presence, including alumni social media and webpages.

  • Establish relationships and coordinate strategies with various departments in the College to assist in engaging specific alumni groups.

  • Represent the college at internal and external events.

Administrative

  • Assist with timely and accurate database updates and actions.

  • Perform other duties as assigned by the Advancement Services Director.

Job Qualifications

Necessary Education or Work Experience

  • Bachelor's degree required.

  • Minimum of 1 to 3 years relevant experience.

Required Knowledge and Skills

  • Organized self-starter with impeccable attention to detail and managing multiple, competing priorities.

  • Other experience deemed equivalent and relevant by Advancement Services Director.

  • Edgewood College alumni encouraged to apply.

  • Project management skills, including the ability to plan, prioritize, and manage work.

  • Demonstrated time management skills, including meeting shifting deadlines

  • Ability to effectively communicate verbally and in writing.

  • Strong problem-solving skills.

  • Ability to work independently and as a team.

  • Possession of valid driver's license.

Required Technical Skills

  • Experience with databases, Raiser's Edge preferred.

  • Proficient in Microsoft Office Suite.

  • Familiarity with social networking as a conduit for constituent engagement.
