Event Staff are responsible for providing logistical and operational support to assigned Heritage Festival events. Event Staff assist the Event Host in ensuring that the entire event runs smoothly, ensuring adherence to the schedule by adjudicators and program participants, ensuring all logistical components are being executed as directed, and ensuring a high-quality experience for all event participants. Event Staff work directly with the Event Host, event participants, and adjudicators to ensure a successful event. Event Staff report to the Event Host.
Event Staff Responsibilities
Support the oversight of event components and act quickly to resolve problems
Adhere to event safety standards; implement and execute all policies and procedures
Perform any operational tasks as directed
Assist with on-site set-up and breakdown of event space and A/V
Assist with inventory, set-up, packing, and shipping of event materials
Assist with ensuring on-time execution of event schedule, supporting with the oversight of group movement from warm up location to main performance location
Coordinate with adjudicators to ensure accurate scoring and timing of participant groups
Keep adjudicators informed of any schedule adjustments
Assist with the logistics of final scoring and recordings, in preparation for awards ceremony
Ensure excellent customer service to all event participants, adjudicators, and vendors
Inspect equipment for damage after use and check it against an inventory list; pack up equipment at end of event
Serve in various support roles and perform other duties as directed by the event host
Qualifications
Event management experience (preferred)
Work effectively in a service-oriented environment.
Strong logistical and organizational skills
Ability to work in a high pace environment
Able to handle stress and remain calm
Establish and maintain effective working relationships with management and other event staff members
Travel to event locations over holidays and weekends
Able to work a flexible schedule. This may include early mornings, days, evenings, weekends, extended (long) workdays, and multiple days in a row.
Organized and detail oriented with ability to prioritize, work on multiple projects simultaneously, exercise good judgment and solve problems
Excellent customer service skills
Ability to work efficiently in a team environment
Physically able to fulfill responsibilities associated with event execution. Festivals require physical exertion including climbing stairs, lifting, long hours on your feet and walking, and exposure to weather (hot or cold).
Able to maintain a professional decorum when faced with conflict or issues while interacting with our customers
