Volunteer Title: Event Planning Intern

Commitment (length of time needed): January-May 2019

Hours: 8-10 hours per week; Flexible between the hours of 9am-5pm; Weekdays.

Department: Resource Development

Location: PRS Administrative Office, 10455 White Granite Drive, Suite 400, Oakton, VA


PRS' annual spring benefit, "Springtopia A Season of Hope", is our most important fundraiser and highly anticipated social gathering of the year.

The Event Planning Intern will provide event support to the Resource Development team, assist in event preparation such as auction solicitation, data entry, auction coordination, event logistics, day-of-event support and much more. The event will take place on the evening of Saturday, May 11, 2019 at the Hyatt Regency in Tysons Corner. The intern will assist with event set-up and prep, day-of support, support at the event, and post-event support as needed.


The intern will:

  • Help to solicit and secure exciting, high-end, and creative auction items

  • Provide initial outreach and follow up calls and emails to potential auction donors

  • Input auction data into event software

  • Coordinate auction items and packaging

  • Help set-up auction leading up to and on day of event

  • Create auction program with details of auction packages

  • Provide social media support

  • Assist at the event with event guest registration and check-out and other duties as assigned

  • Provide additional support to the Resource Development team for the event as needed

  • Post-Event duties such as clean up, data entry, donor acknowledgement, and other tasks to wrap-up the event.


  • Strong verbal and written communication

  • Event planning experience

  • Familiarity with nonprofit fundraising department and donor solicitation

  • Willingness to make connections with new businesses, donors, and event guests

  • Ability to work independently and as a team

  • Ability to think creatively and take initiative

  • High degree of empathy with PRS' client populations

VIEW JOBS 10/20/2018 12:00:00 AM 2019-01-18T00:00 Essential Duties and Responsibilities These duties and responsibilities will be rated on the Annual Performance Review. * Identify, establish, promote and maintain relationships with industry and local and regional news media representatives, public interest groups and other community representatives with a goal of enhancing earned media and public awareness of ServiceSource. * Conduct extensive media outreach. Identify and develop opportunities and PR connections with industry and news media. Develop press releases and pitch stories to local media to obtain optimum coverage for the organization. Provide and prepare sourced data for company spokespeople. * Develop internal and external communications materials including newsletters, brochures, marketing materials, flyers, press releases, press kits and presentations, ensuring that materials are consistent with corporate brand image. * Maintain primary ownership of managing the ServiceSource web site to include updating the site weekly with new information and removing or archiving outdated information, promoting increased use of the employee intranet and more effective use of public internet site. Manage social media accounts, updating content daily. * Assist in development of community outreach strategies and coordinate related promotional project activities in collaboration with community partners, both public and private, resulting in greater community visibility for the organization. Attend community outreach events and engage partners, stakeholders and the general public as a representative of ServiceSource. Additional Duties and Responsibilities * Provide ongoing communications support to the ServiceSource organization, to include Virginia Regional Office, Florida Regional Office, North Carolina Regional Office and Delaware Regional Office. Through the use of SharePoint, support efforts to fully implement branded communications across all regional offices and within all communications materials to include marketing and presentation documents. Support ServiceSource staff for various communications functions, i.e. develop and print flyers, order promotional items, lay-out of Microsoft PowerPoint presentations, etc. * Respond to requests for information from the media and coordinate scheduling and logistics for media events. * Plan advertising and promotional communications projects to include print, radio, special events and direct mail. * Create public relations campaigns and messaging to be used across all public relations medium. * Research media coverage and industry trends and develop story ideas to highlight ServiceSource programs and provide sourced data for company spokespeople. * Coordinate with ServiceSource management staff to ensure that Corporate Policies are written and structured using ServiceSource process and format that aligns with Standard Operating Procedures as necessary. Post policies to employee intranet for broader distribution. * Perform other duties as assigned by supervisor or designated individual. * Participate in all other training required by the Corporation * Submit to a Criminal Background Check and drug test. Detail-oriented with research and analytical capability is needed. * Interpersonal skills and the ability to work with teams and be responsive to requests is critical. * Must be able to respond and write to government solicitations and proposals. Is proficient in Microsoft Office programs, including Word (advanced level preferred), Excel, Project, PowerPoint, Internet Explorer, Adobe Acrobat, Visio and/or SharePoint.
