Position Summary

Posting Note: The Event Planner works in conjunction with the Director of Special Events and volunteer leadership to lead in the planning, design and implement of signature events while serving as a liaison on beneficiary events raising funds for Phoenix Children's. The ideal candidate has 3 years of leadership experience with event planning. This position does not supervise any other positions but may be responsible for delegating and overseeing marketing tasks and logistics to meet project deadlines.

Working in close collaboration with leadership, the Specialist I will assist in the development and implementation of many aspects of multiple programs that align with hospital's mission and support the Foundation's goals. Working independently, the Specialist I may be in charge of overseeing program/project execution that could include staffing, volunteers, budget and fundraising goals from start to finish. This position may also be responsible for special events that publicize the organization and its programs to the community. Position may have direct and/or indirect oversight of lower-level staff members and/or volunteers.

Position Duties

  • Manage Budgets: Creates and analyzes budgets for each program in order to minimize unnecessary expenditures, including complex budgetary planning and forecasting.

  • Allocate Resources: Allocates a specific amount of resources for each program while avoiding the depletion of resources as well as the degradation of quality.

  • Program Development: Assists in the development of fully-fledged programs complete with policies, procedures and techniques.

  • Staff Oversight: Responsible for training, assisting and collaborating with staff members who are involved in one or more programs. Indirect and/or direct supervision must facilitate communication, aid organization, coordinate objectives and ensure that standards are met.

  • Process Documentation: Manages the tracking of deliverables, monitoring progress and translating data towards future growth projections.

  • Performs miscellaneous job related duties as requested.

The Events Specialist is responsible for facilitating external facing and company-wide communication. This position will report directly to the Corporate Communications Manager within the Strategic Marketing team. Performance Objectives: Events Responsible for planning and executing event logistics for corporate events such as the Consumer Electronics Show, ON Semiconductor annual executive customer conference (400 ), and industry analyst days as well as event assistant to other department and regional events and other activities of similar significance and scope. Manages assigned events from pre-event planning discussions through post-event results evaluation. Such activities may include the following as well as other duties as assigned: * Works with internal/external customers to identify and understand event goals and requirements. * Creates individual event project plan, identifies key deliverables and milestones, and drives execution of the event to those milestones. * Participates in event site selection. * Conducts site/vendor/third-party visits as appropriate to identify particular event planning and execution requirements. * Develops and implements event registration processes, website and related activities to effectively distribute information and maximize participation. * Provides project team leadership by engaging appropriate internal/external team resources, coordinating vendor/third-parties, outlining responsibilities and communicating event objectives. * Provides on-site management of assigned events and work direction to extended internal/external team. * Ensures event budget monies committed are clearly identified and effectively collected. * Collects event feedback, conducts analysis and prepare an evaluation of each event. Utilizes event feedback for future event planning. * Assists with managing corporate sponsorships. * Minimum Bachelor's degree in Public Relations, Communications, Journalism or related discipline * Minimum 7 years communications, events and management experience Additional Qualifications: * Self-starter with strong writing and verbal communications skills * Microsoft Office, specifically PowerPoint and Excel * Public speaking * Ability to get results and manage multiple projects * Sound knowledge of organizational communications methods, techniques and processes * Ability to translate technical information into coherent communications and work with technical audiences effectively * Strength in working with colleagues across the function and developing relationships at the highest level of the organization * Should be confident, comfortable interacting with a wide range of people and personalities, and able to balance multiple projects or assignments.
