JOB TITLE: Corporate Event Planner

JOB CLASSIFICATION: Exempt

REPORTS TO: AVP Marketing Operations

JOB PURPOSE: Coordinate and Manage Marketing Client Event Plans

DUTIES AND RESPONSIBILITIES:

  • Coordinate with Marketing Managers to develop event specific project plans.

  • Oversee and execute on all aspects of the event plan for the Marketing department, including budget, venue selection and reservation, contract negotiation, invitations/registrations, appropriate brand dcor, transportation, activity planning, and surveys.

  • Advise company staff on a regular basis regarding all matters related to events including expense to budget and progress to plan.

  • Continually evaluate event planning process and propose new ideas to improve process and events.

  • At times, serve as on-site company representative at national trade events and underwriting seminars, travel required.

  • Develop surveys, invitations and communications in coordination with the creative team.

  • Liaison with national associations for industry events and educational programs.

  • Track and manage the Marketing department's event related expenses.

  • Process invoices for timely payment to vendors.

  • Coordinate lodging accommodations for visiting agents.

  • Select and order marketing apparel and merchandise.

QUALIFICATIONS:

  • Bachelor's degree in marketing/business administration or equivalent experience.

  • Three to five years experience in event planning and project management.

  • Ability to negotiate and influence.

  • Positive attitude and ability to work with variety of management levels with poise and professionalism, enthusiastic and provides exemplary customer service.

  • Extremely detailed oriented with initiative and the ability to work independently in a fast -paced environment.

  • Excellent organization skills and strong ability to multitask.

  • Proficient in event planning tools such as Aventri or Attendease.

  • Strong oral and written communication skills.

  • Proficient in the use of computer programs, including Word, Excel, Outlook, PowerPoint.

Senior Meeting & Event Planner Career Level 4, reporting to MES Marketplace Manager Central Region – Marketplace Events This position is responsible for the strategic planning and execution of Deloitte meetings and events with a primary focus on events delivered in the Central Region. The position requires advanced meeting and event planning expertise from sourcing, contract negotiation, logistics management and seeing through to flawless execution. It demands a significant amount of communication with senior leadership as well as internal meeting stakeholders. The ideal location for the position is in Houston, TX or Chicago, IL. Responsibilities * Deliver exceptional client service with a consultative, solutions-oriented approach * Forecast management and impeccable data integrity * Strict adherence to meeting protocols (cost saving measures, risk policies, contract approvals) * Liaison between meeting stakeholders, vendors, registration, procurement and operations teams; understand and interpret meeting objectives and navigate the firm's event planning processes on behalf of the meeting sponsor * Source appropriate venues on behalf of meeting stakeholders to capture vision and objective of event while also meeting budget, size and location/date requirements * Frequent interaction and communication with firm leadership and external clients through meeting registration and coordination * Hotel room block management to minimize financial impact to the firm in regard to meeting attrition * Serve as single point of contact for both the event sponsor and the hotel/event venue * Develop, review and approve detailed specifications for hotel or venue operations – conference services, rooms, catering, conference set up, AV, business center, accounting, IT/Communications * Review, manage and negotiate contracts with off-site venues and event vendors; leverage cost savings when applicable (production, event décor, entertainment, transportation, team-building, IT, special supplies/materials, temp assistance) * On-site support for designated meetings to ensure successful meeting execution * Audit and submit all event related invoices for processing * Post meeting reporting and reconciliation * Frequent interaction with Hotel/DMC/Hospitality Industry sales and operation professionals, supporting Deloitte's partnerships in a professional manner.
