The University of Tennessee, College of Veterinary Medicine, invites applications for the position of Events Coordinator. This position works under the supervision of the Associate Dean for Outreach & Global Engagement in developing budget, administrative, and operational processes for the delivery of continuing education programs, professional development conferences, and special events. The position is vital for the delivery of continuing education outreach for our college alumni, as well as, for growing the College's reputation as a center for excellence in teaching and sharing scholarly research related to veterinary medicine and surgery.

Typical Responsibilities:

Serves as coordinator of Conference and Event Planning for the College of Veterinary Medicine. Establishes and oversees the integrated logistical and administrative support needs of multiple, complex, and widely distributed educational events and/or conferences.

Has overall responsibility for site selection, contract negotiations, registration/housing, menu planning, room sets, audio visual, transportation, on-site management, completion of attendance rosters for internal processing and record keeping, budget development and adherence, final bill reconciliation, and meeting close out procedures. Has autonomous responsibility to make appropriate decisions in support of the College of Veterinary Medicine goals. Serves as a representative of the College of Veterinary Medicine while providing hospitality and hosting events for the College. Negotiates terms and executes and administers multiple contracts with facilities vendors for services in accordance with budget constraints and University policies and procedures.

Coordinates the planning and organization of special events for the College, i.e., Senior Awards Banquet, Honor's Luncheon, and other College events for faculty, staff, and students. Works with and communicates with all departments and external individuals to ensure high quality programs and events are delivered.

Knowledge, Skills, and Abilities Needed:

Ability to make administrative and procedural decisions and judgments. Skill in organizing resources and establishing priorities.

Ability to perform complex tasks and to prioritize multiple projects. Knowledge of conference facilities, technology, and equipment. Knowledge of Public Institution purchasing principles, procedures, and regulations.

Must have excellent presentation skills to clearly communicate information effectively and persuasively. Strong interpersonal communication skills and the ability to work effectively with a wide range of constituencies. Knowledge and understanding of meeting and event planning principles, requirements, procedures and available resources, including, but not limited to, legal, financial, logistical, public relations, and meeting protocols required for successful implementation.

Minimum Qualifications:

High school diploma or equivalent with five to seven years of extensive, responsible experience as a meeting and event planner.

Preferred Qualifications:

Bachelor's degree, Certified Meeting Professional (CMP), and experience in public or private meeting and event planning.

VIEW JOBS 8/11/2022 12:00:00 AM 2022-11-09T00:00 <p>Training Coordinator, Reliability and Maintainability Center (RMC) - College of Engineering</p><p>Market Range 08</p><p>Expected Hiring Range: $41,000 - $46,000 Dependent upon Experience and Qualifications</p><p>This position is responsible for the planning and execution of the RMC's Professional Development and Certification programs. The Training Coordinator assess the training needs of members/potential customers and works with the Director and Assistant Director to build the annual schedule, plan and execute training events, and manage training/certification records. In addition, the Training Coordinator assists with other RMC events as needed. Training courses may be held in-person or virtually (on Zoom, WebEx, etc.). In-person courses may be held in RMC facilities, on campus, at customer sites, or in strategic locations across the country. Courses are based on demand and many courses are offered 2 or more times a year (35 classes anticipated a year). Position is responsible for completion of university and vendor contracts (room, venue, meals); record keeping of contracts, registrations, CEU course approvals and attendee requests; certificates of completion, and any other documentation regarding training and events. In addition, the position is responsible for tracking and coordinating progress of individuals through the Reliability &amp; Maintainability Implementation Certification (RMIC®) Program.</p><p>This position is an ambassador for the RMC. Position is responsible for making and maintaining relationships with training partners, instructors, venue contacts and course attendees. Good communication skills and customer service are required to build relationships and encourage participation with the RMC.</p><p>Training/Event Planning and Execution to include:</p><ul><li><p>Plan and execute training classes (35 a year)</p></li><li><p>Development of potential client/attendee list</p></li><li><p>Completion of university and vendor contracts</p></li><li><p>Determine printing and/or shipping needs for class materials</p></li><li><p>Purchasing class promotion items and giveaways</p></li><li><p>Overseeing registration</p></li><li><p>Coordinate with instructors and attendees</p></li><li><p>Serves as host during on-site courses, opening the classroom for the instructor(s), greeting and registering attendees, and following up as needed for the duration of the event</p></li><li><p>Coordinates and stocks snacks, meals and beverages</p></li><li><p>Schedule and prepare for virtual courses and act as Zoom/WebEx host as needed</p></li><li><p>Coordinates off-site courses and ships materials</p></li><li><p>Cost summary and course evaluations are required tasks after each event and will be used to make decision on course frequency, etc.</p></li></ul><p>Training Program Coordination to include:</p><ul><li><p>Review performance of previous year's classes the work with RMC Director and Assistant Direct to set training schedule for next 18 months</p></li><li><p>Coordinate with training partners and instructors to finalize schedule</p></li><li><p>Draft course contracts</p></li><li><p>Plan and build client lists to which to market specific classes</p></li><li><p>Work with Communication and Marketing Specialist to develop a marketing strategy for each course</p></li><li><p>Promote RMIC® program and upcoming courses to all class attendees</p></li><li><p>Coordinate with training partners to ensure appropriate certification courses are offered</p></li><li><p>Make course recommendations to customers and work with RMIC® candidates to determine which classes best fit their needs</p></li><li><p>Be proactive in looking for opportunities to sell additional training, private classes, or recommend other services (assessments, coaching, etc.)</p></li></ul><p>Administrative responsibilities to include:</p><ul><li><p>Maintain and manage training and RMIC® files in training management system</p></li><li><p>Track student progress through certification program and make recommendations for additional courses</p></li><li><p>Create training invoices, process payments, and manage course rosters</p></li><li><p>Provide weekly course number updates to staff</p></li><li><p>Ensure course materials are printed/ordered and name-tags/tents and certificates are made</p></li><li><p>Pack course materials and ship as needed</p></li><li><p>File CEU course approvals and request card</p></li><li><p>Create RMIC® plaques and P&amp;S awards for candidates that finish either RMIC® or iBL programs and ship as needed</p></li></ul><p>Required Qualifications/Experience</p><ul><li><p>High School Diploma</p></li><li><p>3 Years experience in an office environment</p></li><li><p>Program Management and/or Event Planning experience are a must</p></li><li><p>Microsoft Office Suite (especially Word, Excel and PowerPoint)</p></li><li><p>Strong organizational and planning skills</p></li><li><p>Ability to self-motivate</p></li><li><p>Excellent customer service and interaction skills</p></li><li><p>Ability to multi-task; manage multiple, varied projects; and meet deadlines set both by supervisor and self</p></li><li><p>Ability to be professional in attitude and appearance</p></li><li><p>Attention to detail is an imperative skill</p></li><li><p>Must have ability to carry reasonably sized boxes of course materials &amp; be able to set up classroom (move tables, chairs, etc.)</p></li><li><p>The training schedule requires that this position have the flexibility to work odd hours when a class is in session, with early mornings and on occasion set-up may be needed on a Sunday afternoon.</p></li></ul><p>Preferred Qualifications/Experience</p><ul><li><p>Bachelor's Degree</p></li><li><p>University of Tennessee experience is desired due to the amount of interaction with other UT offices and UT policies.</p></li><li><p>Experience using CRM and invoicing programs is a plus</p></li><li><p>Some marketing or sales experience is preferred</p></li><li><p>Ability to speak to large groups of people</p></li><li><p>Project management skills</p></li><li><p>Knowledge of CRM programs and/or sales skills</p></li></ul><p>Application Process: Screening of applicants will begin immediately and will continue until the position has been filled.</p><p>Job: Administrative - Program Support 2</p><p>Primary Location: US-Tennessee-Knoxville</p><p>Organization: Reliability and Maintainability Center (College of Engineering)</p><p>Schedule: Full-time</p><br> University Of Tennessee Knoxville TN
