Events Coordinator
The University of Tennessee, College of Veterinary Medicine, invites applications for the position of Events Coordinator. This position works under the supervision of the Associate Dean for Outreach & Global Engagement in developing budget, administrative, and operational processes for the delivery of continuing education programs, professional development conferences, and special events. The position is vital for the delivery of continuing education outreach for our college alumni, as well as, for growing the College's reputation as a center for excellence in teaching and sharing scholarly research related to veterinary medicine and surgery.
Typical Responsibilities:
Serves as coordinator of Conference and Event Planning for the College of Veterinary Medicine. Establishes and oversees the integrated logistical and administrative support needs of multiple, complex, and widely distributed educational events and/or conferences.
Has overall responsibility for site selection, contract negotiations, registration/housing, menu planning, room sets, audio visual, transportation, on-site management, completion of attendance rosters for internal processing and record keeping, budget development and adherence, final bill reconciliation, and meeting close out procedures. Has autonomous responsibility to make appropriate decisions in support of the College of Veterinary Medicine goals. Serves as a representative of the College of Veterinary Medicine while providing hospitality and hosting events for the College. Negotiates terms and executes and administers multiple contracts with facilities vendors for services in accordance with budget constraints and University policies and procedures.
Coordinates the planning and organization of special events for the College, i.e., Senior Awards Banquet, Honor's Luncheon, and other College events for faculty, staff, and students. Works with and communicates with all departments and external individuals to ensure high quality programs and events are delivered.
Knowledge, Skills, and Abilities Needed:
Ability to make administrative and procedural decisions and judgments. Skill in organizing resources and establishing priorities.
Ability to perform complex tasks and to prioritize multiple projects. Knowledge of conference facilities, technology, and equipment. Knowledge of Public Institution purchasing principles, procedures, and regulations.
Must have excellent presentation skills to clearly communicate information effectively and persuasively. Strong interpersonal communication skills and the ability to work effectively with a wide range of constituencies. Knowledge and understanding of meeting and event planning principles, requirements, procedures and available resources, including, but not limited to, legal, financial, logistical, public relations, and meeting protocols required for successful implementation.
Minimum Qualifications:
High school diploma or equivalent with five to seven years of extensive, responsible experience as a meeting and event planner.
Preferred Qualifications:
Bachelor's degree, Certified Meeting Professional (CMP), and experience in public or private meeting and event planning.
