Job Overview

The Event Coordinator plans and executes various mid-and high-level events in support of the Law Center's mission, and provides assistance to other staff members in the Office of Event Management & Scheduling for larger, more complex events happening both on campus and at locations off site. Responsibilities include but are not limited to:

  • Create and manage event budgets, produce timelines, and work with the event sponsor on all aspects of the program

  • Plan and execute virtual and hybrid events as needed, including those taking place in the 9th floor convening space at 500 First Street, NW.

  • Support an array of events including conferences, symposia, faculty retreats, orientation, reunion, as well as wide variety of receptions, dinners and special events

  • Serve as a liaison to the Dean's office, VIPs, alumni, faculty, students and staff

Work Interactions

Reporting directly to Director of the Office of Event Management & Scheduling, the Events Coordinator is an integral part of the overall operations in special events, working both independently on numerous events and providing support to other team members as needed on a myriad of other large scale events.

Qualifications

  • Bachelor's degree - preference for marketing, public relations, communications or a related field

  • At least 2 to 3 years of experience working in the event planning field

  • Analytical judgment, competent decision-making skills, and the ability to prioritize competing demands in an office that plans hundreds of events during the year

  • A high degree of autonomy and initiative, along with the ability to work without close supervision

  • Ability to interface with the public and maintain highly confidential information with professional discretion

  • Strong written and verbal communication skills, attention to detail, and familiarity with Microsoft Office (Word, Excel and PowerPoint)

Preferred qualifications

  • Familiarity with working in an academic or non-profit environment

  • Familiarity with EMS, Social Tables, and Cvent

Our community is a tight knit group of remarkable individuals interested in intellectual inquiry and making a difference in the world.</p><p>Requirements</p><p>Records Assistant, Office of the Registrar - Georgetown University Law Center</p><p>Job Overview</p><p>Within the Academic Records Team, the Records Assistant shares responsibility for processing certifications, including but not limited state bar and other academic certifications for students and alumni; certifying student attendance and degrees within the guidelines set by the Family Educational Rights and Privacy Act (FERPA). They handle, in accordance with Law Center directives and policies, certifications and letters which are completed, signed, and embossed with the corporate seal of the University without the further review of the Assistant Dean and Registrar, deans, or authorized Law Center personnel; and secure written approvals from the Ethics Counsel on certifications involving character and fitness disclosures.</p><p>Second, they handle all inquiries and/or certifications from external individual, including investigators, and responds in accordance with FERPA regulations and Law Center policies and procedures. As well, they serve as the point of contact for all subpoenas, and prepares all relevant documents for review by the Assistant Dean and Registrar, prior to referral to the University's Office of General Counsel.</p><p>Third, the Records Assistant acts as a resource to current students and alumni by providing information about deadlines and requirements for State bar applications; and maintain a searchable certifications database for the office that organizes all certifications requests and speeds up response time to questions regarding the status of requests.</p><p>Fourth, they manage and update the internal record of all students with character and fitness notes (Watchlist) in support of office's certification responsibilities, in a timely manner; maintain documented procedures for the access to students' academic files.</p><p>Work Interactions</p><p>Reporting to the Manager of Academic Records, the Records Assistant interacts with the entire Law Center community, including students, deans, full-time and adjunct faculty, administrators, and staff, as well as the University's Office of General Counsel, and other external constituencies.</p><p>Their actions have a significant impact on both individuals and the Law Center community as a whole. Failure to safeguard and provide appropriate access to academic records as regulated by FERPA and Law Center policies may negatively impact the confidentiality of student's protected information, place the University in jeopardy of fines and/or defamed reputation. Certification errors may impact a student's eligibility for loan deferment and prospective employment.</p><p>As well, the Records Assistant is held to strong ethical standards as the certifying official delegated to sign official Law Center documents on behalf of the Assistant Dean Registrar and/or Dean. Failure to adhere to high ethical standards could lead to misrepresentations on official documents signed on behalf of the Assistant Dean and Registrar and/or Dean.</p><p>The Records Assistant must meet strict and often competing certification deadlines. Failure to do so may result in a student's ineligibility to sit for a state bar exam and may negatively impact his or her employment prospects.</p><p>The Office of the Registrar maintains a team-oriented environment; and it is vital that the Records Assistant understands and accepts the role they play as part of this team.</p><p>Work Schedule</p><p>Because of the cyclical nature of the Office of the Registrar's responsibilities, every staff member is called upon to work extended hours - including some weekend time) during peak periods (orientation, registration, exams, graduation clearance, commencement.</p><p>A positive attitude and a willingness to devote as much time necessary to do the job right is a necessary attribute in this department.</p><p>The Records Assistant must also recognize that during peak times of the year -- registration, exams, graduation clearance, and commencement - they will be called upon to assume responsibilities outside their established scope of work.</p><p>Qualifications</p><ul><li><p>Bachelor's degree</p></li><li><p>At least 3 years of continuous work experience in a demanding environment requiring demonstrated multitasking, attention to detail, and exemplary organizational skills</p></li><li><p>Experience working with certifying officials in government, state, and local agencies</p></li><li><p>Proficiency with database management, including reporting/analysis</p></li><li><p>Exceptional communication skills and ability to work with diverse constituencies, including students, faculty, staff, alumni, state agencies, government officials, and other clients</p></li><li><p>Self-motivated, self-directed, able to work independently, and capable of handling multiple tasks simultaneously</p></li><li><p>Ability to maintain the highest levels of professionalism and office decorum, while retaining the interpersonal skills necessary to successfully relate to our constituents</p></li><li><p>Attention to detail, accuracy, accountability, excellent leadership skills, good listening skills, and an ability to establish priorities are critical to success in this position</p></li><li><p>Ability to communicate well with a wide variety of constituencies, and capable of maintaining confidentiality of student records</p></li><li><p>Ability to meet strict and often competing deadlines</p></li><li><p>Willingness and availability, flexibility to successfully participate in the Work Schedule as described above</p></li></ul><p>Preferred qualifications</p><ul><li><p>Technical knowledge and experience in systems used by higher education institutions</p></li><li><p>Working knowledge and use of Banner, Cognos, Microsoft Access, and other Microsoft suite of products, G Suite (Google Cloud), database creation and management, and production of ad hoc programs</p></li></ul><p>Work Mode: Hybrid.
