We're in search of a skilled Event Coordinator for a mid-entry-level position dedicated to ensuring our venue's events are consistently efficient, cost-effective, and unforgettable. The event coordinator will collaborate directly with clients to deliver a seamless and positive event experience, overseeing client and event management from start to finish. Responsibilities include sales coordination, event day staffing, coordination of event logistics, and planning and executing venue marketing initiatives and community events. The ideal candidate will thrive in people management and possess strong coordination skills. This dynamic role offers abundant opportunities for growth and development in the events industry.

The typical schedule for this position is Full-Time, 40 hours a week. Availability during evenings, weekends, and designated team office days (Wednesdays) is essential as work assignments are event-driven. We offer flexible working hours and the option to work remotely for up to two days per week, based on the needs of the role.

Responsibilities

Specifically, this position:

  • Develops a comprehensive understanding of the requirements for each event hosted at our venue.

  • Serves as the primary point of contact for clients upon booking, ensuring a response time of less than one business day to client emails or phone calls.

  • Collaborates with clients, vendors, and guests on event day to address venue-related inquiries or issues, ensuring customer satisfaction and swift problem resolution.

  • Possess thorough knowledge of venue services, operations, and contract terms to facilitate the success of events.

  • Compiles all necessary forms and documents for each event in accordance with venue contracts, operations, and local ordinances.

  • Maintains composure and professionalism in challenging situations.

  • Demonstrates adaptability and professionalism when interacting with clients who may be intoxicated.

We are looking for a candidate that:

  • Demonstrates proficiency in general office practices and procedures.

  • Is proficient in routine software and business applications including, but not limited to, word processing, spreadsheets, presentation software, and databases.

  • Communicates clearly and concisely, both verbally and in writing.

  • Reads and comprehends department and County rules, regulations, policies, and standard operating procedures.

  • Establish and maintain effective working relationships with other County employees, representatives of other agencies and organizations, and members of the community.

  • Maintains regular, predictable attendance.

Qualifications

All candidates will be screened for the following required minimum qualifications. Any candidate who does not meet all of the qualifications listed as required will be eliminated from the process.

  • One (1) year of experience in a directly related field or in the performance of similar duties and responsibilities required.

  • Bachelor's Degree, or equivalent education, from an accredited college or university with major coursework in Marketing, Public Relations, Business Administration, or a related field required.

  • Possession of a valid Driver's License by date of hire required.
