Events Coordinators at Galvanize are passionate about top-notch hospitality and detailed event execution. They have proven success in providing an excellent customer experience and enjoy tackling fire-drills with a smile. As directed by Event Managers, ECs positively represent the Galvanize brand and are a key resource for event execution for all program stakeholders.

ECs are master multi-taskers - successfully executing event logistics while interacting with event vendors, guests, and content owners. They have worked in the hospitality industry and therefore able to creatively execute logistic needs at Galvanize events.

ECs will provide their availability monthly to Event Managers and will be scheduled as needed to support event execution. ECs will receive direction from Event Managers to ensure the event space is set up and taken down efficiently and effectively.

Please note: this is a part-time position.

Event Execution:

  • Arrange event room setup and breakdown including all needs for seating, staging, A/V, Food/Beverage, etc.

  • Move and install heavy equipment as needed. Based on Event Manager direction professionally receive deliveries and direct vendors for events from rental companies, caterers, A/V.

  • Gain full-knowledge of event space layout, capabilities, as well as functional details and storage locations of all event assets.

  • Provide post event feedback and improvement areas to Event Manager.

Experience Management:

  • Graciously and efficiently welcome guests to Galvanize, acting as security a checkpoint and registering them on the Galvanize ipad system, and direct them to the event location.

  • Confidently speak to the general mission of Galvanize and our core offerings, with strong ability to convert interested guests into leads by directing them to the appropriate Galvanizer to learn more about our programs.

  • Monitor and proactively respond to needs of event organizers and guests throughout the duration of the event.


  • Strong verbal communication skills.

  • Ability to follow detailed directions.

  • Enjoy problem solving in fast-paced environments.

  • Enjoy customer service.

  • High-school diploma or equivalent.

  • Ability to lift and move up to 40 lbs of heavy equipment.

The Arizona Exposition and State Fair (AESF) is seeking an exceptional Assistant Event Coordinator to add to our Entertainment and Event Solutions (EES) team. As the Assistant Event Coordinator, you will work effectively with both the client and internal account teams to flawlessly deliver events that achieve client results against established strategic and creative objectives, timelines and financial goals. The Assistant Event Coordinator executes the revenue generating programs for the Arizona Exposition & State Fair. Whether it's a venue rental, Trade Show, Commercial Sales vendor, Sponsor, or Entertainment-related, this position is critical in providing an unmatched customer service experience for the client. The client is defined as a venue promoter or partner, Commercial Sales Vendor or Exhibitor, Sponsor, or Mobile Tour Manager. You will work in tandem with the Sales Manager, implementing contracted programs by coordinating with related departments, including the Fair Operations Crew. All of the logistical elements flow through the Assistant Event Coordinator, from start to finish. The ideal candidate must be creative, proactive and timely in their approach across all Departments. Administratively, the Assistant Event Coordinator is knowledgeable with rental estimates, timely and accurate billing, cross-department requests and communication, Event Calendar, and manages the Contract Status with the Administrative Assistant. Additionally, you will work proactively with the Administration to ensure that deposits, contracts, maps, insurance, billing and payments are in prior to established deadlines. Duties and Responsibilities: Event Season: * Assist with promoting the facility to new and potential clients * Work with clients to schedule events and determine event needs * Liaison between multiple departments and the Client to produce the event * Create, negotiate, and execute venue contracts * Determine equipment/physical set-up needs for grounds events and create action plans * Create event set-up sheets with detailed information regarding each departments' responsibilities * Coordinate scheduling of employees as needed based on event needs * Complete itemized billing at conclusion of event * Coordinate with Accounting and Operations Departments to secure and finalize payment * Liaison with client, Accounting, and Box Office on settlement * Anticipate and troubleshoot all issues during event Arizona State Fair: * Manage outdoor stages and special attractions * Manage Grandstand series events and crew * Oversee the community stage programming * Assist with supervision of stage managers, interns, and other Fair Crew * Provide substantial logistical, planning, and coordination support for other departments as necessary NOTE: Flexible weekend and evening schedule required, working long extended hours, including holidays.
