Event Coordinators at Galvanize are passionate about top-notch hospitality and detailed event execution. They have proven success in providing an excellent customer experience and enjoy tackling fire-drills with a smile. As directed by Senior Event Coordinators (Senior ECs) or Event Managers, ECs positively represent the Galvanize brand and are a key resource for event execution for all program stakeholders.

ECs are masters at multi-tasking - successfully executing event logistics while interacting with event vendors, guests, and content owners. They have worked in the hospitality industry and are therefore able to creatively execute logistical needs at Galvanize events.

ECs provide availability to the Event Managers on a monthly basis and will be scheduled as needed to support event execution. Under the direction of Event Managers or Senior Events Coordinators, ECs ensure the event space is set up and taken down efficiently and effectively.

Event Execution:

  • Arrange event room setup and breakdown including all needs for seating, staging, A/V, Food/Beverage, etc.

  • Move and install heavy equipment as needed. Based on Senior EC or Event Manager direction professionally receive deliveries and direct vendors for events from rental companies, caterers, A/V.

  • Gain full-knowledge of event space layout, capabilities, as well as functional details and storage locations of all event assets.

  • Provide post event feedback and improvement areas to Senior ECs and/or Event Manager.

Experience Management:

  • Graciously and efficiently welcome guests to Galvanize, acting as security a checkpoint and registering them on the Galvanize ipad system, and direct them to the event location.

  • Confidently speak to the general mission of Galvanize and our core offerings, with strong ability to convert interested guests into leads by directing them to the appropriate Galvanizer to learn more about our programs.

  • Monitor and proactively respond to needs of event organizers and guests throughout the duration of the event.

Requirements:

  • Strong verbal communication skills.

  • Ability to follow detailed directions.

  • Enjoy problem solving in fast-paced environments.

  • Enjoy customer service.

  • High-school diploma or equivalent.

  • Ability to lift and move up to 40 lbs of heavy equipment.

The Event Coordinator position is part of the Northern California Sales & Marketing team, which is based in San Francisco and handles the San Francisco, Berkeley, and Sacramento port locations. The primary focus of this position is to effectively manage large, high profile events. Responsibilities include handling all logistical aspects of assigned event needs, with a goal of upselling an average of 15% in additional revenue to each event. Position primary responsibilities: * Establish positive and professional relationships with clients to earn repeat business and ensure quality score goals are met. * Use up-selling techniques to increase event revenue by an average of 15% through various enhancements - including but not limited to upgraded menus, hosted bar programs, HCE photography, florals, linens, entertainment, etc.. * Represent the Sales & Coordination team as an expert in all communications and relationships with our outside vendors as well as our internal departments throughout the event process. This includes event details for catering meetings, appropriate vendor invoices, and spotless final contracts for events. * Finalize all specific areas of event contracts for clear execution by service team; including but not limited to the event itinerary, menu selections with entrée splits, beverage program, floor plan, guaranteed guest count, and the collection of the final balance within the appropriate timeframe. Desired background: * Knowledge of Microsoft Office applications, including Word and Excel. * A minimum of 3-years in the Special Events field is required with an emphasis in event planning. * Experience with Corporate, Social and Wedding markets is required. * Ability to do basic mathematical calculations including addition, subtraction, multiplication, division, fractions, and percentages. * Capability to create and analyze a budget spreadsheet * Ability to analyze, compare information, reason logically and handle multiple tasks * Ability to professionally communicate to all external and internal clients and other departments Hornblower Cruises & Events has been the leading yacht and public dining cruise company in the United States for more than 32 years.
