Event Production Coordinator This role is hybrid - 3x a week onsite in Anaheim, CA, 2x a week work from home, plus an average of 50% travel (could be local to Los Angeles, in California or outside California). This is a full time, W2 position that includes benefits. The rate of pay is $25-30/hour depending on experience plus overtime.
Since this role is events, there could be an average of $10k in overtime on top of hourly pay, plus benefits. In this role, you'll contribute to the creation of groundbreaking events while supporting our senior team members. If you're organized, innovative, and a team player eager to jump in and provide exceptional event support, we'd love to meet you Key Responsibilities: Daily Support:
Provide crucial assistance to senior team members in various tasks, including: Scheduling, invoice processing, and data entry. Building presentations, managing expense reports, and maintaining data integrity Cross-Functional Communication:
Ensure seamless coordination between front of house and the shop floor. Creative Process Assistance: Collaborate with the creative team to research and confirm creative elements for proposals.
RFP & Production Management: Manage deadlines and deliverables for RFP responses and event production. Oversee assistants and ensure adherence to project timelines.
Follow up on deliverables for Producers and clients. Event Logistics Support: Assist with on-site or virtual event logistics and build production timelines.
Track deliveries, research experience enhancement opportunities, and manage event details. Production & Budget Management: Attend production meetings, manage production schedules, and oversee pre-production logistics.
Maintain accurate vendor records and manage project budgets, ensuring all production elements align with the given budget. Review expense grids for accuracy and completeness before submitting them to Producers. Trend Research & Development:
Stay updated on the latest event industry trends, technology, and platforms. Team Leadership & Management: Guide junior team members and maintain effective working relationships with vendors.
Skills & Expectations: Strong organizational skills and ability to multi-task in a fast-paced environment. Proficiency in MS Office (Excel, PowerPoint, Word, Outlook) and Google Workspace.
Basic technical production skills are desirable. Excellent communication skills, both written and verbal. Demonstrated project management and leadership abilities.
Willingness to travel up to 50% and lift 25 lbs or more. Education & Experience Requirements: 2 years of hands-on event production experience. Experience with experiential event marketing at an agency or brand highly preferred.
