Job Description: Benefits Supplemental Questions
To monitor and/or coordinate the operation to include all food and beverage, bar, audio/visual, and all technical aspects of scheduled functions during evening hours and weekends in the Killeen Civic and Conference Center and the Special Events Center.
Employee has no supervisory responsibilities.
Essential Duties:ESSENTIAL DUTIES AND RESPONSIBILITIES
Functions as customer liaison for planning and coordinating events held at the Civic and Conference Center complex.
Provides detailed direction for the operations crew while on duty.
Keeps an operational log during functions; open and closes facilities and performs fire and security checks.
Advises and assists the clients in completion of contractual agreements between the client and the Killeen Civic and Conference Center. In addition, assists the Booking Manager with booking local events, such as weddings, meetings and conferences.
Assists lessees with move in and move out procedures.
Enforces policy and procedures plan to lessees during events.
Implements emergency operations plan during events when acting as floor manager.
Reviews and revises emergency evacuation plans.
Prepares and publishes digital content for display on outdoor electronic marquee and interior digital signage.
Operates and/or coordinates the set up and operation of all audio/visual equipment necessary for events.
Collects client payment for event bookings, when needed.
Provides tours of the Killeen Civic and Conference Center complex.
Provides efficient and effective customer service to ensure client satisfaction through all stages of even planning process as well as during the scheduled event.
Assist the CVB Manager with the creation and publication of marketing materials.
Assists custodial employees in completion of tasks when required.
Completes accident reports on employees and customers.
Ensures safety hazards are corrected immediately.
Schedules client appointments and meets with clients if necessary, to confirm audio visual requests.
Possesses and maintains a valid driver's license and comply with City of Killeen driving policy.
Must be able to work nights and weekends.
Performs other duties as assigned.
Serves on various committees as assigned.
Required Minimum Qualifications:
REQUIRED MINIMUM QUALIFICATIONS
Education and Experience:
Graduation from high school or equivalent; and
Two (2) years' experience in event coordination, hotel sales, entertainment sales, or concert promotions; or
Any equivalent education or experience
Knowledge, Skills and Abilities:
Ability to read and interpret documents such as safety rules, material safety data sheets, operating and maintenance instructions, and procedure manuals.
Ability to learn to work with audio/visual equipment such as house lighting, sound control systems, amplifiers, projectors, etc.
Ability to speak with and maintain effective working relationships with contractors, lessees, the public and other employees.Ability to effectively communicate instructions and policies. Ability to work with Event Business Management System (EBMS).
Ability to understand and apply concepts equivalent to high school level math. Ability to write routine reports and correspondence. Ability to maintain records and prepare reports.
Ability to solve practical problems and deal with a variety of variables in situations where only limited standardization exists.
Ability to use Microsoft 2000, Word and Excel
Ability to maintain regular and punctual attendance.
Supplemental Information:SPECIAL REQUIREMENTS
Must have a valid driver's license by date of hire.
Must obtain and maintain a Texas Driver's License within 60 days of hire.
Must be bondable.
Must be willing to work nights and weekends.
TOOLS AND EQUIPMENT USED
Audio/visual equipment, projectors, personal computer, including word-processing, spreadsheet software, and Event Business Management System (EBMS) computer software program, 10-key calculator, phone, copy machine, and fax machine.
