Department Marketing Statement

The Office of Admissions is charged with assisting the campus in reaching its undergraduate admission and enrollment objectives in accordance with the University mission and campus enrollment goals. Department efforts are focused upon increasing the academic quality and diversity of the entering class while maintaining the required enrollment level.

Admissions seeks to implement the campus admission goals by providing a number of services and events. Admissions promotes postsecondary education; encourages applications from historically underserved populations and schools; provides admission information to high school and community college counselors, teachers and administrators; provides admission advice to prospective freshman and transfer students; reviews and evaluates applications; develops recruitment strategies and events for admitted students; reviews coursework for transfer credit; and creates a presence on campus that is consistent with UCSB's mission and high academic standards.

These services are provided by three units within the department: Visitor Center, Outreach Services, and Application Services.

Brief Summary of Job Duties

Under the direction of the Associate Director of Admissions, School Services, the incumbent will collaborate with the Admissions management team in the coordination of special events that address the needs of prospective students, parents, counselors and CBO's as they navigate the college application process. Events include the Chancellor's Regional Receptions, UCSB Open House, Gaucho Transfer Fridays, and UC-wide events such as Counselor Conferences and UC4You events. The incumbent will assist with all Admissions & School Services events as needed, and will respond appropriately to workload shifts during the calendar year.

In addition to assisting with major Admission events, the incumbent serves as an Admissions Counselor interpreting the University's administrative and academic policies and procedures to the public. As an Admissions Counselor, the incumbent will provide pre and post admission information to prospective students, applicants, parents, and school administrators relating to academic offerings, admission requirements, and student life.

As an Admissions Counselor, the incumbent must have a thorough working knowledge of university admission requirements for high school and community college students. Additionally, they must have a working knowledge of the UCSB academic offerings, the financial aid process, UCSB support services, and housing options. Some seasonal travel throughout California may be required though most interactions with the public will occur in the UCSB Visitor Center, requiring full-time presence on campus.

As a representative of Admissions and UCSB, the Incumbent should demonstrate the highest level of professionalism and judgment, have excellent public speaking and organizational skills, and solid analytical skills.

Required Qualifications

  • Bachelor's Degree in related area and/or equivalent experience/training

  • Experience advising and supporting students regarding postsecondary opportunities and careers

  • Experience in event coordination

  • Effective utilization of social media platforms for informational and recruitment purposes

Job Functions and Percentages of Time:

Event Coordination

  • 40%

Develop and coordinate annual services, events, conferences, tours, and summer programs specifically for prospective high school and community college students, parents, counselors, and CBO's. Collaborate with the Associate Director of Admissions, School Services and the Assistant Director, Admissions, Visitor Center to develop, coordinate, promote and implement large-scale events both on-campus and off-campus. Collect, analyze, and evaluate program effectiveness utilizing outcome assessment methods.

On campus events include UCSB's Open House, Gaucho Transfer Fridays, UC Counselor Conferences, UC for You, Diversity Initiatives, Community College residential summer institutes, Chancellor's Receptions, and events for CBO partners.

Serve as the liaison with relevant departments, staff and faculty to ensure appropriate campus representation at these events. Incorporate UCSB staff, faculty, and students into the program itinerary.

Work closely with the Assistant Director, Communications to design promotional pieces for events and update the website with relevant information and coordinate social media. Design and implement publicity campaigns to disseminate event promotional materials at high schools and community colleges throughout California.

Admission Counselor

The incumbent serves as an Admission Counselor primarily on-campus but may be assigned some travel to high schools as needed. Provides presentations to prospective UCSB students, their parents, counselors and educators about admission policies and practices, and to encourage students to apply and enroll in UCSB.

As an Admission Counselor, the incumbent will meet with parents and prospective students seeking information about the campus. Lead presentations (online and in-person) relevant to the needs and interests of the audience.

Maintain thorough knowledge and be able to disseminate information covering all aspects of the campus including admission eligibility requirements, academic programs, curricula, EOP, housing, financial aid, fees, orientation, etc. Represent UCSB at appropriate professional conferences. Make on-campus presentations to visiting student groups.

Provide pre-admissions counseling to campus visitors and students in campus programs. Leads College Advising Presentations (CAPs) at school sites, attends College Nights and College Fairs, and represents UCSB at California College and University fairs.

Must maintain thorough knowledge of University application procedures and admission policies and practices. Must have strong counseling skills informed by an in-depth understanding of issues relevant to the academic preparation and success of low income, underrepresented, first generation college-bound students.

Serves as a member of the Admissions Selection Committee. Reviews application files in order to make recommendations regarding freshman admission to UCSB.

Communication Planning and Coordination

  • 10%

Working with the Management Team, Social Media Committee, and the Assistant Director of Communications, research and suggest designs for materials, and merchandise supporting events.

Utilizes Slate CRM and other software programs to promote, register guests, and create reports for the evaluation of events.

Works with Admissions management team to develop communication strategies, content, and annual event calendars.

Budget Planning

  • 5%

Work with program managers to facilitate the development of event and programming budgets and track expenditures according to policy requirements.

Establishes and maintains productive and informed working relations with vendors. Assures the quality and timely delivery of printed materials, catering, and equipment rentals.

Evaluation & Data Collection

  • 5%

Tracks, program participation. Create and establish a process for collecting qualitative and quantitative data as well as evaluating the effectiveness of the services provided. Utilize this information to prepare formal reports to the management team.
