Job Description:

This position is located in the National office which is located at:

1125 Sanctuary Parkway, Suite 500, Alpharetta, GA 30009

The Estate and Trust Administrative Coordinator provides administrative support to clients and branch offices by performing a variety of complex duties in the estate, gift and trust planning administration arenas.

Principal Accountabilities:

  • Gathers pertinent information from clients or advisors, initiates and monitors all administrative detail to service client's estate, gift and charitable trust administration and related tax returns.

  • Performs accounting including accounts payable and receivable, generates invoices and maintains updated CIP, CRM and Billport information.

  • Assembles and processes client tax returns and enters pertinent information into company systems.

  • Follows up on delivery to clients.

  • Maintains well-indexed filing systems and procedures for correspondence, reports and reference material, including confidential and non-confidential material in accordance with compliance regulations.

  • Prepares and processes Client Agreements.

  • Coordinates Estate Planning engagements with Advisors for Branch Clients and updates project tracker weekly.

  • Coordinates the scheduling of appointments, meetings and travel arrangements as needed.

  • Monitors and orders office supplies as needed for copiers and supplies for tax return preparation.

  • Prepares requested reports and spreadsheets in a timely, accurate manner.

  • Collects and processes outgoing mail and distributes incoming mail to appropriate staff

  • Approaches work, interactions and relationships in a manner consistent with the Company's Core Values.

  • Maintains the highest Compliance standards by adhering to the company's Human Resources guidelines, Compliance policies and procedures, professional designation standards, and industry's regulatory standards to mitigate risk to the company.

  • Performs all other related duties as assigned or directed.

Education, Experience & Skills:
  • Bachelor's degree preferred.
  • A minimum of three (3) years' prior related administrative experience required.
