ESP Graduate and Undergraduate Programs Coordinator

The George Mason University Department of Environmental Science and Policy (ESP) in the College of Science (COS) seeks candidates for a Graduate and Undergraduate Programs Coordinator. Responsibilities:

Working 40 hours per week (1.0 FTE) in a fast-paced and demanding office setting, the Programs Coordinator is the initial and primary contact for students to the Undergraduate & Graduate Academic Affairs office. The Programs Coordinator greets, guides, and directs students in the submission of academic requests, as well as referring students to additional staff members or other university offices when needed. A major function of the Programs Coordinator is to provide accurate and timely information about college and university procedures to students, staff, and faculty who contact or visit the Undergraduate & Graduate Academic Affairs office. Additional responsibilities include data entry and tracking progress of requests submitted for review, compiling monthly calendars, including searching for and compiling up-to-date lists of events and updates to the unit's web page. Assist in the scheduling and preparation of recruiting events.

Required Qualifications:

  • The ability to manage graduate student admissions procedures and policies, track enrolled students, and support all the administrative aspects of progress towards their degree within ESP, COS and the University;

  • Excellent professional presentation, communication, and customer service skills, good judgment, and the ability to provide an immediate response to requests and inquiries for a variety of university stakeholders;

  • Knowledge of budget and fiscal practices supporting graduate fellowships and teaching assistantships;

  • The ability to work courteously and effectively with students, prospective students, and faculty;

  • Enthusiasm for working in higher education and a research-oriented environment;

  • Familiarity with, and significant experience using, standard word processing, spreadsheets, and databases;

  • The ability to utilize electronic and telecommunications both on-site and remotely for effective management and communication with students, prospective students, and faculty; and

  • The ability to effectively utilize and navigate database and spreadsheet software and to access information from the internet for program support.

Preferred Qualifications:

  • Experience working in an academic unit within a university setting, particularly with both graduate and undergraduate students and academic requirements; and

  • Experience working with Elucian Banner and admissions programs, such as Target X, are strongly preferred.

The Environmental Health and Safety (EHS) Office collaborates with the university community to promote health, safety, environmental protection, emergency preparedness and compliance with applicable regulations, guidelines, and best practices in order to sustain a healthful and safe working and learning environment. The department serves all units within the division of Housing and Residence Life on matters pertaining to occupational health, safety, risk and emergency management. The department is focused on reducing property damage and injuries by initiating change through innovative practices in each of the respective areas of focus. The Program Coordinator serves as a part-time classified staff presence for all Housing and Residence Life Safety and Emergency Management Operations in university residence halls. This position is to ensure that a physically safe environment is maintained at all times on residence halls on campus, and will assist in responding to emergencies. Duties required to facilitate a safe environment are outlined by but are not limited to; building management, occupational health & safety (students and employees) and fire code compliance. The incumbent will work with undergraduate, graduate, and professional staff who focus on maintaining safe communities through health and safety inspections, building facilities/maintenance tours, and emergency facilities/maintenance response. In addition; the incumbent shall maintain a close relationship with department colleagues and external customers to ensure Housing and Residence Life safety and Emergency Management provides effective support to the mission of the university and the department. The incumbent shall also develop initiatives to enhance these operations within the department. Duties: Public Safety Compliance: * Uses complex criteria, data collection and interviewing techniques to apply knowledge, training or experience to assist with facilitating a resolution of assigned responsibilities within public safety compliance of moderate to difficult nature. * Assists with developing and managing a system of timely and effective emergency response public safety concerns and emergencies within the division to include but not be limited to the tracking and reporting of information, communication process with on-call staff, and transition of information in conjunction with the Assistant Director. * Assists with evaluation of work methods and procedures to recommend an improvement in quality customer service with a public safety mindset. * Assists with developing and managing residential facilities, maintenance and safety program to provide services during the evenings, weekends and holidays to include but not be limited to the on-going development and evaluation of positions and responsibilities. * Assists with conducting periodic industry and regulation research on student centered facilities/maintenance and safety programs in higher education to produce a comprehensive report that will utilize key findings in change management. * Assists with communicating with stakeholders regarding safety concerns, inspections, follow up on corrective actions. * Assists with the development and management of a comprehensive safety system that will respond to emergency and crisis situations that occur within or adjacent to residential areas in conjunction with the Assistant Director. Incumbent shall triage the initial emergency, when at work, and report facility, maintenance, safety, and/or security incidents to appropriate staff members and campus partners to ensure comprehensive and effective response. * Assists with developing a relationship with public safety stakeholders including but not limited to Fire and Rescue personnel, University Police, contracted security services for events, etc. * Assists with the establishment and implementation of assessment tools to evaluate program efficacy, efficiency and job performance. Program Coordination: * Assists with the meetings and direct reporting with employees. * Assists with managing department standard operating procedures, policies, inventory, and supplies in conjunction with best practices, laws, and regulations. * Assists with collaboration of the stakeholders to identify trends and support initiatives to address violations of the student code of conduct or university policies as it relates to safety and emergency management. * Assists with the department's response and coordination with Disability Services and any requests for accommodations with Housing and Residence Life as it relates to safety of occupant(s). * Assists with Interfacing and coordinating the annual inspection by the State Fire Marshal's Office of residence halls. * Serve as a facilities and maintenance resource. Offer input to supervisors to enhance the safety of employees. * Assists with maintaining regular contact with Neighborhood Facilities Managers and Neighborhood/Night Maintenance Managers.
