We are seeking a dynamic Practice Manager to join our busy and growing practice, just north of Oklahoma City. The Practice Manager will serve as an integral member of the veterinary practice team. Through partnership with the Practice Owners and Managing Veterinarian, the Practice Manager is responsible for providing a smooth and profitable operation by driving revenue and managing costs while creating a practice culture based on high quality patient care and exceptional customer service. Responsibilities include managing, planning, and coordinating the overall operations of the practice, and cultivating a supportive and collaborative team environment.
Duties and Responsibilities
Leadership and Planning
Develops and executes growth strategy in conjunction with Owners and Managing Veterinarian.
Establishes goals for the practice and staff
Participates in the planning and budget maintenance process and takes shared responsibility for Revenue/EBITDA performance with Practice Owners and Managing Veterinarian
Creates the practice staff schedule and manages labor costs to budget
Acts as a champion for change by improving processes and profitability. Identifies, documents, shares, and promotes best practices
Operations
Oversees all day-to-day operations of the site, including but not limited to:
Analyzes the financial health of practices and diagnoses issues
Accounts receivable and payable, payroll
Manages inventory and controls facility and administrative costs, including IT & Fleet management
Capital Expenditure planning
Staff scheduling
Vendor relationships
Tracks and maintains OSHA, DEA compliance and current licensures for all veterinarians
People Management
Partners with the Managing Veterinarian to address staffing needs including recruiting efforts, hiring, performance reviews, mentorship, and career development.
Implements performance-based incentives, rewards, and recognition programs when applicable.
Promotes a healthy workplace culture and encourages employee engagement.
Client Service
Demonstrates and reinforces the highest level of client service
Resolves client issues and oversees client follow-up communication
Manages the overall reputation of the practice through social media and marketing campaigns
Drives client visits through strategic client communication and local marketing efforts
Develop strategic marketing plan to engage veterinarians in the community through various events
Qualifications
Bachelor's degree in business or a related degree is preferred
5+ years of experience in a manager role, including supervisory, leadership and customer service experience
Experience in a veterinary practice or equine/mixed animal practice setting in positions of increased responsibility is a plus
High levels of attention to detail
Possesses a self-directed attitude and an ability to work independently.
Ability to manage financials and analyze data
Demonstrates sound judgment, strong problem-solving skills, and effective decision-making and resolution management abilities
Excellent oral and written communication skills
Basic computer skills i.e., Microsoft Office suite
Previous practice management software knowledge preferred
