Entry Level Operations Assistant

OVERVIEW

Our Operations team is looking for a new addition! This is a great opportunity for a recent graduate interested in business or someone who is looking to move into operations support. This position is full-time, based at our corporate office location in Hauppauge, NY. The person who fills this role will be managing all aspects of the sales ordering process.

Responsibilities

• Checking orders for accuracy and bringing errors to the attention of the ISR/Buyers

• Reviewing open order report against distributor reports and receiving in material once shipped. This includes obtaining tracking numbers and serial numbers from the vendor websites and entering information into NetSuite.

• Create fulfillments in NetSuite for billing purposes.

• Monitor ETA dates and update in NetSuite as changes occur.

• Work with the buyers to resolve any vendor discrepancies.

• Entering customer owned sales orders and purchase orders

• Processing fulfillments and invoicing for customer owned projects (DOE, SCA, Northwell)

• Escalate issues, as necessary.

• Processing of Returns and Credit Memo's as needed

Inventory:

• Entering End of Life Inventory adjustments into NetSuite - R1094 (CCU & IPDVS projects)
• Obtaining and communicating End of Life disposition information from File maker (Northwell)
• Inventory cycles are performed weekly to ensure that inventory counts are accurately reflected in NetSuite for reporting purposes.

Reports:

Vendor/contract reporting:

• Generate reports for all vendor reporting.

• Review report against the criteria and prepare individual reports for each vendor based on their required criteria. Provide report to Operations Manager for review.

• Submit reports to vendors in a timely manner meeting all vendor requirements.

• Provide report to Operations Manager and VP/General Manger NY by the 15th of every month. This report monitors the status of our sales to each contract.
