POSITION SUMMARY: The Enrollment Services Specialist plays an instrumental role in supporting the exponential growth of non-traditional enrollment, guiding students throughout their educational journey and ensuring a seamless process from initial inquiry to graduation. This role focuses on closely monitoring and following up with Requests for Information (RFIs) and tracking both submitted and unsubmitted applications. Additionally, the Specialist aids in developing and improving procedures for documenting and tracking these interactions. Like their peers in SCOPE, the Specialist can serve as a point of contact for online students, manage course registrations, and proactively engage at-risk students.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
RFI and Application Management: Take charge of RFIs and incomplete applications, ensuring that prospective students are provided with timely and pertinent details.
Team Collaboration: Work closely with the Enrollment Services Coordinator and Supervisor. These roles are designed to be complementary, ensuring coverage during the extended time when adult learners are actively seeking information and providing backup as and when required.
Adaptive Engagement: Recognize and respond to the unique needs of adult learners who often seek information beyond traditional working hours. This role requires adaptability and a commitment to providing assistance during extended hours, ensuring that prospective students receive timely support and information.
Documentation System: Establish, uphold, and fine-tune a structured method for documenting and tracking RFIs and subsequent follow-ups on applications.
Student Assistance: Support online students in course registration and attend to their general queries.
Data Maintenance: Ensure the precision of student data within the Customer Relationship Management system.
Support for At-risk Students: Actively engage with students perceived to be at risk, offering necessary assistance, resources, and motivation.
Inter-departmental Coordination: Maintain regular communication with the Registrar's Office, the Business Office, and the Financial Aid Office to meet the multifaceted requirements of distance students.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:
Must be a confident, professional communicator
Exceptional customer relations skills on email, telephone, and personal communications
Highly motivated and able to work on own initiative
Detailed oriented-excellent organizational and planning skills
Strong writing, editing, and proofreading skills
Ability to be creative
Ability to handle highly confidential material
Ability to type quickly and accurately
Ability to work with other departments in the University to meet the needs of our students
Experience in using social media for promotional purposes
Preferred experience with learning management systems
