Requirements

Engineering Office Coordinator

The Coordinator serves as initial point of contact for community work requests via phone, email, fax and walk-ins. S/he facilitates communication among field personnel, management, and customers. Duties include but are not limited to:

  • Receives work requests from campus community via phone, email, fax and walk-ins.

  • Assesses urgency of requests and routes requests to appropriate facilities management area in the manner dictated by the urgency of the request.

  • Identifies situations requiring assistance from other departments, and alerts such departments as necessary.

  • Enters requests into Facility Center (SPAN) database and notifies requests of assigned work order numbers. Researches, initiates and prepares purchase requests required to complete action.

  • Maintains log and file of work requests. Follows up on requests.

  • Maintains contact with Facilities Management personnel via radio, pager and phone to ensure prompt and efficient response to requests.

  • Closes out work and service requests in SPAN database.

  • Verifies that accurate and complete information concerning labor and material cost are entered to assure that required financial processing occurs timely.

  • Collects missing information by contacting Facilities Management area or department.

  • Works with accounting staff to make necessary financial adjustments for costs called into question by department.

  • Other duties as assigned.

Requirements

  • High School diploma

  • Requires minimum of one year of administrative experience

  • Must be computer literate. Experience with database software helpful

  • Must be able to speak and write English. Must have ability to hear and communicate effectively via phone and radio. Requires strong customer service orientation

S/he will maintain calendars and schedules; plan and coordinate a variety of complex meetings and special events; provide general office management support including ordering supplies/materials; providing audiovisual support; maintaining program files and database; ; scheduling and making travel arrangement; drafting correspondence; and providing backup coverage for other JFF administrative staff, among other duties as needed. The position requires working in close collaboration and coordination with other team members. Responsibility, flexibility, excellent judgment with a strong sense of initiative and the ability to act independently are required to deal with all aspects of this position. Responsibilities The principal duties and responsibilities of the position include, but are not limited to, the following: Administrative Support: Scheduling & Calendar Management * Provide routine administrative support to managers, staff, and/or providers under general supervision * Provide backup coverage for other administrative support staff as needed * Maintain the DC office calendar, schedule meetings, conference calls, webinars, and appointments * Make travel arrangements for staff, consultants and visitors, and process expense reimbursements * Perform data entry in Salesforce * Maintain filing systems Office Operations Coordination * Serve as the JFF liaison for the DC office's property manager * Coordinate and schedule a variety of activities to support DC office operations * Receive and process all incoming mail * Serve as the purchasing coordinator for DC office supplies, and process office supply reimbursement requests and invoices * Arrange for and set up equipment for new DC office hires * Greet visitors to the JFF office * Act as the staff contact person for internal and external constituents by responding to questions and requests for information * Establish and maintain office systems and procedures for smooth functioning of workflow * Assist in managing relationships with JFF meeting participants, hotel staff, and travel agent partners at JFF-hosted events and meetings * Assist with special projects, as directed Qualifications * 2 to 4 years of administrative experience preferred * Flexible and receptive to added responsibilities and changing priorities * Excellent interpersonal and communications skills * Strong customer service and problem-solving orientation * Proactive, independent self-starter * Detail-oriented and able to juggle competing priorities, make a plan and execute * Excellent time management skills and the ability to work with minimal supervision * Proficient in Microsoft Office applications; strong internet skills; knowledge of Salesforce a plus * Interest in the workforce development or education sectors, or previous non-profit experience desirable Compensation Compensation is commensurate with experience.
