Position Summary:

The UCI Human Resources (HR) enterprise is comprised of three unique business units: Health, Health Sciences, and Main Campus. UCI HR's vision is to empower people to drive a culture of innovation, learning, and service that requires us to enable the success of individuals within the UCI community and those who aspire to join. The HR enterprise consists of the Partnership for Strategy and Innovation (Partnership), People Services, Health HR, Campus HR, and the Office of the Chief HR Officer/Vice-Chancellor. The Partnership serves as a strategic center responsible for planning and implementing strategic initiatives across the entire UCI HR enterprise. People Services is a trusted partner in providing administrative support functions that allow the UCI community to focus on their core functions to accomplish the UCI mission of teaching, research, public service, and patient care. Members of the Partnership and People Services work in close collaboration with all three business units to leverage expertise across the enterprise. https://hr.uci.edu/

Reporting to the Senior Director for Employee Engagement, the Engagement Coordinator supports the implementation of various employee engagement programs, initiatives, and events across the UCI enterprise, inclusive of the UCI Main Campus, the College of Health Sciences, and UCI Health. Supports the launch and implementation of strategic plan priorities related to staff engagement. In coordination with the Event Analyst, the Engagement Coordinator plans and supports large, medium, and small-scale events -- on-site and virtually -- across the UCI enterprise. Provides support for on-site setup and all operational logistics before, during, and after the event. Partners with HR team members and other colleagues to ensure engagement activities are implemented on schedule. Plans, organizes, and identifies real and potential event locations and vendors. Determines and coordinates events staffing needs. Shares responsibility for administering the service award program (e.g., maintaining list of eligible staff members and ordering / distributing awards via vendors and fulfillment house). Manages the relationship with vendors used for engagement-related gifts (e.g., branded swag, trophies, awards, printed materials). Serve as point of contact for engagement related ServiceNow inquiries from employees via the Employee Experience Center (ServiceNow). Represents engagement team in various venues, such as New Employee Orientation on an ad-hoc basis. Assist with coordination of the Engagement Ambassador program. Responsible for the purchasing needs of the engagement team, including ordering supplies and materials, and reconciliation of expenses using various methods of payments; understands and works within budgetary approvals and guidelines.

Required:

  • 3-5 years of experience in event planning, project coordination, program administration, or similar profession.

  • Bachelors' degree in business administration, communications, marketing, hospitality management, psychology, organizational behavior, or similar field.

  • Working knowledge of concepts, principles and practices of event planning and project coordination.

  • Working organizational skills, including skill in effectively coordinating and organizing multiple details.

  • Excellent organizational abilities.

  • Good interpersonal communication skills and political acumen, including skill in effectively representing the campus, medical center or other university organization to its publics.

  • Ability to work in diverse groups, including but not limited to students, staff, faculty, general public, production personnel, technical operators, and performing artists.

  • Ability to work professionally under pressure and under tight deadlines ensuring excellent customer service support.

  • Strong working knowledge of Microsoft Office Working knowledge of HR analytics, as metrics and data are often used to measure engagement programs.

Preferred:

  • Working knowledge of UCI, its programs, policies, mission, goals, objectives, achievements and infrastructure.

  • Familiarity with UC and UCI policies, including Article 5 requirements.

Special Conditions Required:

  • Supports offices in Orange and Irvine; must be able to reliably report to these different worksites at different times, with little notice.

  • Must be able to work different schedules, as required by events.

  • Some travel may be required.

  • Hybrid role may be considered.
