The Engagement Coordinator supports planning, implementing, and managing the comprehensive engagement program for the school's donors, alumni, and friends. Reporting to the Senior Director of Engagement, this position facilitates strong and sustained relationships with constituent groups and key stakeholders, engaging them in meaningful ways in the life of the school. Working collaboratively to advance the department's goals, the Engagement Coordinator has a demonstrated track record of in-person and virtual event support, digital communications and marketing, administrative support, and an interest in learning alumni engagement and donor engagement best practices.
Key Responsibilities:
Digital Content Development and Project Management
Develop and manage a plan for Advancement communication to support a high volume of special events and priority messages for donors, alumni, and other key constituencies.
Manage a calendar-based approach for project management utilizing Asana to ensure deadlines are adhered to.
Draft content for event invitations, social media posts, and webpage updates. Partner with Communications on creative design and timely publication.
Create and build forms in NXT, Alambase, and Finalsite to receive responses including RSVP and registration.
Collaborate with Advancement Services on data requests including mailing and email lists.
Schedule emails and digital posts in accordance with the project timeline.
Track and report on digital content performance across multiple channels.
Collaborate with Advancement Services on high-touch, curated special events to ensure attendance and activity data points are accurate and entered in the database.
Prioritize projects in a fast-paced and collaborative environmenttriage requests for support.
Special Event Management and Stewardship
Manage the planning and execution of events supporting three longtime institutional programs, including the Rubenstein Guest Artists Reception and Lecture, the John Fisher Zeidman Memorial Reception and Lecture, and the Newmyer Awards Dinner.
Provide logistical support for special stewardship and fundraising events, including Loyalty and Leadership, Founders Day for Scholars, Grandparents and Special Friends Day, and Movers and Quakers engagement.
Participate in day-of-event registration, providing the highest level of customer service.
Review event attendance and correspondence data and follow up with constituents with contact discrepancies or differences. Partner with Advancement Services on any data corrections.
Prepare event briefings for leadership as needed.
Produce and prepare name tags for a variety of events.
Process and request expense payments for vendors.
Manage inventory of swag and supplies.
Qualifications
A Bachelors degree is required, along with one to two years of experience in alumni or donor engagement, preferably in a higher-education or independent school setting. The successful candidate will be a strategic thinker eager to continue learning about relationship management, fundraising, stewardship, and engagement programming. Professionalism, discretion, creativity, willingness to travel and work occasional irregular hours, and the ability to deal with confidential information are vital in this role.

Must be a self-motivated, highly dependable worker who can effectively prioritize work, problem solve, and function in a highly collaborative environment.
Able to work in a fast-paced environment, handle multiple tasks simultaneously, and prioritize projects to meet deadlines.
Skilled in project and event management, both in-person and virtual.
Excellent written and verbal skills.
Strong organizational skills and ability to manage complex, multi-phase projects from inception to completion.
Ability to represent the School with internal and external constituents in the community by attending events and social gatherings as needed.
Desired
Knowledge of fundraising principals and best practices in alumni engagement and/or donor engagement.
Experience using The Raisers Edge NXT in a non-profit setting.
