About this job

This role will require the person to be in-office mandatory two days a week, Tuesday and Wednesdays, (this can vary week to week with additional days in office to support events/meetings) with three days remote work.

The Employee Experience Coordinator sits at the intersection of Collaboration X Celebration, fostering a productive work environment and best-in-class experience. You'll create and maintain relationships with internal employees, recruits, vendors, and external clients to get the job done successfully.

You'll take ownership of the day-to-day office operations, with a detailed eye on cultivating an environment of cleanliness and comfort. You're a result's driven DIYer that excels at bringing people together and completing detailed requests quickly.

What You'll Do

  • Answer and direct office phone calls, take messages when necessary.

  • Greet and assist visitors, ensuring a positive and professional first impression.

  • Plan inter-office and virtual events, helping to maximize participation, and creating an engaging experience.

  • Provide administrative support to various departments leaders, i.e. calendar and expense management.

  • Assist in the preparation of meetings as needed, which include ordering of meals, arranging for specific equipment or materials etc.

  • Partnering with internal departments (Marketing, New Business, Finance etc) to ensure detailed projects are done on time and accurately.

  • Being "on call" to help different departments or executives with ad-hock projects as they arise.

  • Assist with on the ground onboarding of new hires in the Chicago office - i.e. office information and acclimation etc.

  • Maintain ordering of office snacks while staying within budget.

  • Manage over all appearance of office and meeting rooms.

  • Cleaning / organizing all office areas, motivating office staff to help keep areas clean.

  • Maintaining office equipment and restocking (printer paper, coffee beans etc) as needed.

  • Collaborate closely with building maintenance teams to ensure office is well maintained and scheduling for repairs for general office space and equipment.

  • Helping HR/ IT teams with cleaning/ restocking desks and setting up IT equipment.

  • Handle and distribute office mail.

  • Create and distribute office key fobs to internal employees.

  • Assisting HR/ IT teams with exit task i.e. collecting and receiving IT equipment return.

  • Ensure office bills are sent to finance for processing.

  • Maintain seating charts and employee office lists.

Who You Are

  • Proven experience as an office manager with dual administrative assistant duties.

  • Ability to handle multiple tasks and prioritize effectively.

  • You have a hospitality mindset and always incorporate it into your day-to-day.

  • Must be dependable and show strong problem-solving abilities on tasks assigned.

  • You create and maintain collaborative partnerships with others.

  • You have a wicked attention to detail with emphasis on quality.

  • You're a DIYer who doesn't mind fixing things as needed (coffee machine, printer etc) or locating a vendor who can.

  • You have a strong sense of urgency.

  • You have flexibility with your schedule to help when project/ leadership teams need assistance.
