Division and Unit Overview

The Global Marketing Department within the Publications Division of the American Chemical Society (ACS Publications) is responsible for developing marketing strategies, implementing outreach initiatives, delivering award-winning creative and executing superior events to engage its global audience, all within an advanced technical and data-driven environment. Tasked with promoting a robust product line of over 80 journals, eBooks, and a range of digital offerings, the Global Marketing Department is committed to facilitating for the larger scientific community a seamless online, purchasing, and reading experience. Key constituents include researchers, authors, reviewers, editors, institutional/corporate librarians, administrators, funders, and ACS members. The teams within the Department collaborate to develop lasting community relationships and engagement that promote positive brand sentiment, ultimately driving readership, authorship, and revenue. With a truly global research community as its audience, ACS Publications is continuously focused on expanding its footprint and influence.

Position Summary

Reporting to the Manager, Americas & EMEA Exhibits & Events, the EMEA Exhibits & Events Manager is responsible for planning and implementing logistics for ACS Publications exhibits program and special events, including meetings and conferences promoting the journals program. The primary geographic focus of this role is EMEA (Europe, Middle East, Africa), but the Manager will support other regions of the world as needed. The incumbent will provide coordination, support and oversee logistical aspects of meeting planning by creating and following production timelines with the creation of event specs, vendor RFPs and venue process, budget forecasting, budget management and providing onsite staffing and logistical management for the special events, and other meetings/events. Working closely with a cross-functional team including product and revenue marketing managers, managing editors, and sales directors, the Manager executes the Publications Division's conference and exhibit calendar, ensuring a consistent presence and guiding key tradeshow deliverables.

This role involves project management for a multi-layered events program, contributing to budget management and coordinating all logistics. The Manager is expected to support in evaluating the success of their portfolio of events qualitatively and quantitatively to enhance programs for the global community of authors, researchers, and institutional customers/librarians. Building and fostering relationships with internal and external stakeholders is crucial for effectively managing multiple time-sensitive priorities.

Work Design:

Key Responsibilities:

  • Manage event operations lifecycle for ACS Publications events in the EMEA region to include industry tradeshows, meetings, and conferences to deliver compelling experiences and deliver on business objectives.

  • Coordinates exhibit logistics to include placing all booth orders (furniture, AV, electric, catering, etc), collaborating with the Creative Services team on booth graphics, registering staff, ordering/shipping giveaways, and other logistical support as needed.

  • Utilize exceptional project management skills to ensure all assigned deliverables are completed to the utmost quality and at the specified timeline, track performance against budgets, and promote team collaboration. Evaluates event performance, including post event analysis, de-briefs and wrap-up reports.

  • Ensures effective and appropriate communication with internal and external clients and provides timely, outstanding customer service.

  • Collaborate cross-functionally on event and conference strategy, operations, audience engagement, and execution of a growing portfolio of events.

  • Represent ACS Publications on Society-wide event initiatives and collaborate with colleagues across all areas of the organization.

  • Provide onsite support during events as required.

Qualifications:

  • Undergraduate degree in Business, Marketing, or a related field; Industry certifications a plus but not required.

  • 5-7 years of related experience in event management, project management, and/or communications.

  • Proven success in overseeing a wide range of events and exhibits, coordinating logistics, and managing budgets effectively. Experience in international events in the EMEA region preferred, as this role will be required to work across different time zones and cultures.

  • Must demonstrate strong organizational and analytical skills with an exceptional ability to prioritize and manage time effectively. Attention to detail is integral.

  • Outstanding interpersonal skills with focus on collaboration and consensus building between teams.

  • Collaborative approach to all work; ability to create productive and efficient working relationships.

  • Experience with event management software (CVENT preferred), virtual event platforms, and project management tools (Asana preferred).

Position Summary

Location: This position will be primarily based in the Washington D.C. office. ACS employees work a hybrid work schedule, consisting of working onsite two days per week. The ACS Publications Global Events Team is in the office on Tuesday and Wednesday. While always welcome to work in the office, employees may work the other three days of the week from a location of their choice. New employees are immediately eligible for this hybrid work arrangement.
