Job Title: Business Secretary

Department: School Staff

Reports To: Principal

FLSA Status: Full-time (12 month), benefits eligible, non-exempt

Date: April 16, 2020

Job Summary

The business secretary assists the principal and works cooperatively with the parish business office to ensure that the school is operating in a cost-efficient manner according to best financial practices and Archdiocesan policies and procedures. In addition to bookkeeping responsibilities related to accounts receivables and payables, the business secretary manages student enrollment/ registration and school employee compliance reports.

Essential Job Functions

  • Handling bookkeeping entries including but not limited to functions such as reconciling bank accounts, payables and receivables on a monthly basis;

  • Facilitating archdiocesan payroll functions;

  • Overseeing the school's tuition management system, including but not limited to processing tuition billing;

  • Ordering supplies including but not limited to creating P.Os, reconciling bills against delivery, and tracking teacher expenses and reimbursements;

  • Performing various assignments and projects consistent with the responsibility level and general duties of a school bookkeeper;

  • Facilitating the dissemination and return of student enrollment /registration materials;

  • Transmitting new/terminating employee documents and school employee compliance reports.

Job Requirements

  • Practicing Catholic preferred

  • Understands and supports the mission and purpose of Catholic school

  • Is knowledgeable of school policy and guidelines in relationship to financial policies and procedures of the archdiocese

  • Complies with the Safe Environment requirements of the Office for the Protection of Children and Youth

  • Good interpersonal skills

  • Is computer literate in word processing, spreadsheet, database, Google, Microsoft Office and QuickBooks

Preferred Job Skills and Experience

  • is knowledgeable of the principles of accounting
  • has an undergraduate degree in business or related field or has business management / accounting experience for schools, churches or not-for-profits, or charitable foundations
  • experienced in using any or all of the following: PowerSchool; FACTS; Empower IL/Big Shoulders portals; PDS
