The Vendor Management Team Lead performs and/or manages the group with a combination of contract, performance, relationship or risk management roles with IT vendors. He or she owns and must understand contractual, commercial and operational working relationships with vendors to ensure that contractual commitments are delivered across IT. The vendors could be delivering IT products (hardware or software) or IT services (consulting, application development, infrastructure and so on).
Develop and lead the IT vendor management strategy, ensuring that IT vendors are delivering maximum value through their services
Establish internal policies and approve external policies, standards, processes and templates for working with vendors.
Understand IT vendor spending by category, cost center, region and vendor.
Classify, rationalize and optimize the vendor portfolio, and concentrate efforts on managing the most strategic vendors.
Manage regular senior-level collaborative meetings between the vendor and the client.
Create contract, performance, relationship and risk management procedures.
Ensure there are clear metrics across all key performance indicators (KPIs) to ensure strong performance management.
Manage appropriate personnel (such as performance, contract and risk, and relationship managers) that are part of the vendor management team.
Identify and execute value opportunities with key vendor relationships.
Manage the team whose activities are related to vendor relationships, contract and commercial terms and conditions, and product or service performance. Perform this function related to information systems, external software sources and externally sourced IT services.
Analyze problem areas, and help resolve issues and disputes.
Manage the communications process with vendors. (Who can communicate on what issues and topics, and under what forms and forums?) Note: Vendors will seek to connect through as many contacts within your organization as possible, but this can quickly get out of control and result in conflicting agreements.
Develop the reporting for vendor performance in areas that include (but are not limited to) quality, capacity, systems and responsiveness
Collect constituent reporting requirements, and develop vendor scorecards and dashboards that present relevant data tailored to the audience.
Focus vendor performance metrics on technical, process and business outcomes, such as innovation, competitive advantage and increased revenue. Define and hold strategic vendors to higher performance standards, and drive continuous improvement.
Maintain/enhance tools for use in vendor management, including vendor tracking, analytics and performance management tools (scorecards and dashboards).
Collect, consolidate and communicate detailed reports and key vendor data to stakeholders on vendor performance, risk and relationships. Foster analytics-driven decisions based on this data.
Inform IT vendor managers/procurement and business operations about information gleaned from market investigation reports on sourcing methods, products and potential vendors, and while conducting vendor analysis.
Ensure the vendor management office (VMO) is mitigating, monitoring and managing vendor risks
Include financial viability, business continuity, and corporate and regulatory compliance.
Assess and report on the risk level of vendors based on financial, skills, tools and the use of third parties.
Establish the right organizational structure, and provide for staff development
Provide appropriate support/training to internal staff that manage individual vendor accounts.
Drive a focused culture through performance targets, one-on-ones, a clear engagement strategy and regular performance reviews, ensuring you have the right person in the right role, based on their skills and competencies.
Work with internal colleagues to ensure they have the appropriate information and knowledge at hand to be successful in what they do.
Assist IT vendor managers and IT procurement (if outside the VMO) with vendor evaluation and selection criteria, procedures, and best-practice tools and templates.
Assist procurement staff when negotiating with vendors to optimize the procurement of cost-effective acquisitions.
Manage relationships with vendors for cost-effectiveness, build a main vendor repository to ensure effective contract management and vendor relationships, and plan for major software upgrades, ensuring that change management procedures/methodologies are used.
Bachelor's or Master's degree in information systems or related discipline or an equivalent combination of education or work related experience.
10 years of demonstrated progressive work related experience including development and project management in an enterprise wide environment.
Demonstrated ability to manage and develop employee resources for areas of expertise across the enterprise.
3+ years working with or for Financial Institutions
Experience working with end-to-end source to pay lifecycle
5+ years of experience with technology sourcing activities
