Education Coordinators must pass state and company background checks. Experience and educational requirements include:

  • At least two years of professional teaching experience with infant to preschool children.

  • CDA or equivalent ECE credits required.

  • Associate's degree or higher in ECE or related degree preferred. High school diploma/GED required.

VIEW JOBS 11/22/2019 12:00:00 AM 2020-02-20T00:00 GENERAL SUMMARY/ OVERVIEW STATEMENT: The Harvard Combined Pulmonary and Critical Care Fellowship Program is based at Massachusetts General Hospital and Beth Israel Deaconess Medical Center – two world-class teaching hospitals affiliated with Harvard Medical School. MGH and BIDMC are at the forefront of medicine and have an unwavering commitment to the diverse communities we serve, to advancing healthcare through cutting edge research and to educating the next generation of physicians. Our mission is to train outstanding pulmonary and critical care specialists who advance our field as leaders in clinical medicine, science and education. The Education Coordinator provides administrative support to the Program Manager and the Program Director in all aspects of the Harvard Combined Pulmonary and Critical Care Fellowship Training Program (sponsored by the MGH w/affiliate Beth Israel Deaconess Medical Center). Responsibilities include, but are not limited to, organization of program-based activities including recruitment, orientation, event planning, maintenance of program and trainee files, evaluations and conferences, purchasing and expense tracking, program and trainee correspondence, up-keep of program and community database, and communicating and tracking detailed program information. In addition to responsibilities for the fellowship program, the education coordinator serves as a general administrative support staff member of the MGH Pulmonary and Critical Care Division and is the primary backup to the general Administrative Coordinator for the administrative offices. Responsibilities include credentialing, onboarding, and reappointment of faculty, accounts payable processing, division conference administrative support, visa processing, office supply ordering, and other duties as assigned. PRINCIPAL DUTIES AND RESPONSIBILITIES: * Assists in the preparation of program documents, including drafting affiliation agreements and invoices. * Organizes program events including the selection of venue, ordering food, preparation of agenda, preparation and sending of invitations, tracking attendance, etc. (graduation, committee meetings, etc.). * Attend monthly DOM Meetings/ Annual GME coordinator retreats * Responsible for purchasing of office equipment, supplies and program-related procurements. Tracks and reconciles purchases. * Processes and tracks all reimbursements and check requests through PeopleSoft and Accounts Payable. * Assists program manager with maintaining and monitoring budgets and expenses for program. Creates tracking systems through Excel spreadsheets for specific program expenditures including fellow educational funds. * Maintains e-Community database; uploading schedules, initial fellow information, faculty directory, career opportunities, alumni information and faculty research information, users, etc. * Processes all HMS initial appointments, changes, and terminations within the annual appointment structure for faculty at MGH. * Keeps faculty and program administrative files up-to-date, maintains personnel files on all trainees and ensures the ACGME required documentation can be found * Primary recruitment contact for applicants, residency programs, and ERAS. Coordinates all trainee recruitment activities including pre-screening, evaluation committee meetings, interview coordination, and ranking meetings. Assists with the preparation of recruitment documents (e.g., program brochure). * Ensures that fellow orientation, scheduling, and credentialing processes are successfully implemented. * Primarily responsible for the all aspects New Innovations including the coordination of trainee evaluations. Tracks for compliance. Collates and prepares evaluation materials for review by Program Director as well as for distribution to those evaluated and/or respective service chiefs. * Coordinates annual In-Service examination; including set-up and proctoring * Assists Program Director with individual fellow compliance to academic requirements and hospital regulations * Assists Program Director with planning, development, staging and assessment of conferences for fellows and faculty, create and monitor summer lecture and core curriculum speakers/ scheduling * Assists in preparation of fellowship curriculum and department initiatives * Maintains department distributions lists and sends out communications on behalf of faculty; maintains and updates fellow and faculty rosters and group page lists * Creates and maintains directories for fellows to be uploaded to the e-Community * Orders diplomas/certificates for graduating fellows * Participates in process improvement efforts * Attends and records minutes at program education committee meetings, as requested * Troubleshoots for fellows * Other projects and duties as assigned * Creating faculty surveys through Survey Monkey * Securing venues for daily, monthly and yearly meetings and lectures * Prepares trainee correspondence * Laundry – mailboxes * Daily reminders for faculty speakers at education conferences * Logging all conferences into excel * Thank you letters and reports for faculty * Accounts payable processing * Visa processing and onboarding of postdoctoral staff SKILLS/ABILITIES/COMPETENCIES REQUIRED: * Perform administrative duties, under minimal supervision, at the highest proficiency level. * Excellent computer skills and knowledge of complex web-based programs (e.g., New Innovations). * Knowledge of ACGME Program requirements. * Exceptional organizational skills, ability to multi-task, accurate attention to detail. * Ability to work both independently and as part of a team. * Excellent and effective interpersonal skills, verbal and written communication skills. * Demonstrated ability to work effectively and courteously with various groups * Demonstrated knowledge of HIPAA Confidentiality and Privacy Policies EDUCATION: High School Diploma Required, Bachelors strongly preferred EXPERIENCE: 2-4 years of related experience required. Experience/familiarity with the use of web-based office systems a plus. FISCAL RESPONSIBILITY (if applicable): Assists program manager with maintaining and monitoring budgets and expenses for program. Processes expense for up to 24 FTE fellows. Tracks expenses via Excel spreadsheets for specific program expenditures including fellow educational funds.
