About the Role.

We are currently looking for an experienced EDI Coordinator to join the Supply Chain team reporting to the Supply chain Operations Manager. This position is responsible for the maintenance and daily support of the companys daily transaction flow from/to our EDI trading partners. This position works closely with Sales, Supply Chain and Finance staff to ensure all business requirements are met on an accurate and timely basis. This position also interacts with external trading partner/customer EDI departments.

Primarily this role is the day to day operations of all EDI functions, including incoming sales orders and outgoing shipping notices and invoices. These are very time-sensitive and require fast and accurate decision-making. Successful candidates will enjoy diving deep into data, discovering root causes, and suggesting long-term solutions for the maintenance of document transactions and trading partner integrations.


  • Project ManagementManage all EDI projects and communicate directly with trading partners.
  • Test & MaintainFeed and troubleshoot EDI transactions into and out of backend ERP system.
  • Coordination (3rd Party)Work with 3rd party to make sure we follow EDI guidelines from all EDI major trading partners and implement any updates pertaining to EDI transactions. This includes work to maintain a working interface with the companys ERP system.
    • Set up and coordinate tests with Operations and Warehouse for new trading partners on EDI.
  • TraceabilityReview, track and ensure document transmissions in a timely manner.
  • ChargebacksReview charge-backs and follow up with Accounts Receivable department for EDI non-compliance chargebacks assessed.
    • Work to assist other departments (such as Sales and Warehouse) to prevent chargebacks.
  • Quality AssurancePerform Quality Control on all setups, modifications, updates to the EDI System.
  • Database ManagementMaintaining of Customer Ship-to addresses
  • Contract ManagementMaintaining and uploading customer contracts


  • Bachelors degree in a business-related field.
  • 3+ years experience in a similar role.
  • Knowledge of order management, inventory management and warehouse management systems
  • Knowledge working Amazon as well as big box retailers such as Costco
  • Excellent customer service skills, positive attitude, honesty and integrity to ensure everyone has a positive impression of and experience with LIFX.
  • Experience processing EDI and manual orders (email, portal).
  • Track record of working effectively with retailers and distributors to manage inventory requirements at a fast pace.
  • Self-motivated, with the ability to work under pressure, multi-task, and prioritize work with an attention to detail and accuracy.
  • Excellent communicator, both written & verbal.
  • Experience managing order administration for large retail accounts, with at least one of the following: Amazon (global), Apple (global), Best Buy (Americas), Bed Bath and Beyond (Americas), Costco (global), Home Depot (Canada and US), Walmart, Ingram Micro (global), Superior (US), Exertis (UK), Tech Data (Europe).
  • Excellent organizational and people skills, project management skills, with an ability to openly convey information to team members in a timely, concise manner.
  • Understanding of applicable computer systems, such as Google or Microsoft Suite and function specific software (working knowledge of of Xero accounting platform a plus).
  • Experience working with 3PLs a plus.

Additional Requirements.

    • Flex hours to work a balanced day between Europe and North America.
    • Ability to travel as needed to Australia, Europe, and within the US (estimated once per quarter)

The EDI Specialist develops and implements an EDI strategy to support organizational initiatives. Where possible, the EDI Specialist will leverage TOMS' current solutions landscape and resources to enable business requirements. TOMS uses EDI formats to communicate with larger customers, third party warehouses and as a drop ship supplier for online wholesale customers. The EDI Specialist role also provides support for the integration of data across the platforms from a functional perspective. TOMS uses the software platform, Dell Boomi, to orchestrate integrations and EDI messages across TOMS systems. The ideal candidate will leverage highly effective communication skills to lead cross functional projects through to implementation. The Specialist will partner with the offshore support team to ensure appropriate utilization and work prioritization. Essential Responsibilities * Implement and monitor EDI systems, including data mapping, translation and interface * Coordinate relations with, and serves as a liaison to internal users, vendors and other external partners with respect to data interchange standards * Defines and performs EDI system testing and quality control checks * Develops and maintains EDI documentation * Handles processing, monitoring, and exception handling of EDI transactions * Provides resolution, resubmissions and root cause analysis of EDI rejections * Review and analyze acknowledgment and custom reports to identify transaction rejection trends * Review and analyze internal transaction processing information for each transaction * Performs software configuration, tuning, and EDI partner prototyping, setup, development, configurations and processes for File transports and format mapping * Performs EDI daily support and projects, prototype data transfers using various methods including, but not limited to, EDI, SAP IDOCS, XML, AS/2, FTP, SFTP, and general network file transfers * Maintain and review the EDI system's performance (acknowledgments, communication, translation) and monitor the status of daily transmissions. * Analyze EDI and data integration/transformation requirements from trading partners and develops processes to fulfill these requirements utilizing existing applications, utilities and tool sets * Project management/lead of setup and integration with retailers, vendors and other trading partners, including coordinating and meeting with both internal and external resources * Work with End Users and other team members to provide production support and issue resolution * Develops policies and procedures for the EDI department * Delegate development work to team of outsourced staff supporting integrations and middleware * Develop solution mapping designs and relay them to project team members for business understanding and implementation * Ensure optimal designs are created from an end-to-end perspective * Review and resolve issues noted in the integration landscape include EDI message types. * Support the translation of customer requirements into technical designs, design schemas and integration requirements leveraging solution capabilities and functionality. Work Experience * Experience providing support and project related hands-on development for internal applications and integrations (including EDI messages, XML, SAP IDOC structures,…) * Experience onboarding new customers, processes new sales channels from initial discussions to implementation. Providing project management to ensure alignment of cross functional team. * Planning and managing project scope to ensure commitments are met within agreed upon timelines * Collaborate with project team members and business stakeholders to define requirements and desired timelines. * Conducting weekly operational meetings with technology, warehouse and business partners for issue resolution and progress on approved project work. Skills & Qualifications * 3-5 years experience Experience with basic middleware methodologies supporting mediated interfaces * Work experience with Dell Boomi or other iPaaS platforms, preferred * Work experience with SAP IDOC's, preferred * Work experience with 900 Series EDI Docs highly preferred * Excellent written and oral communication skills, including the ability to speak and write about technical issues for both technical and non-technical audiences * Demonstrated ability to set and meet goals, assess risks and needs, develop schedules, monitor and communicate status * Reasonable tolerance for ambiguity * Bachelor's Degree in Computer Science, Information Systems, or other related field OR equivalent work experience.
