Salary: Pay for this position is determined by the School Secretary Salary Schedule based on years of experience and education. $16.08-17.37 per hour/Minimum Pay.

Purpose of the Job: The Early Childhood Secretary plays a multifaceted role, combining administrative support, customer service and event coordination. This position ensures efficient operations, exceptional visitor experiences, and effective financial management within the early childhood programs of the ECHO & Family Center Early Childhood Council.

Minimum Requirements:

Education: Minimum high school diploma or equivalent.

Certification: None required.

Experience: A minimum of two or more years of successful secretarial experience. Must also have knowledge in learning and navigating technology efficiently.

Licenses/Certificates: None required

Other Criteria: Valid driver's license and reliable vehicle

  • Maintain good security practices with passwords and accounts to the various district systems and applications.

  • Report actual or suspected breaches in the confidentiality, integrity or availability of district data to appropriate district personnel.

  • Follow all board policies for acceptable use of district technology.

  • Model the District's Mission and Belief Statements.

  • Other duties as assigned.

General Responsibilities

  • Providing exceptional administrative support to our team: This includes managing calendars, scheduling appointments, and ensuring smooth communication flow.

  • Greeting visitors professionally: You'll be the first point of contact for many, so a friendly and positive attitude is essential.

  • Maintaining an efficient filing system: Keeping our physical and digital documents organized is crucial for our day-to-day operations.

  • Composing and proofreading correspondence: You'll draft emails, letters, and memos, ensuring they are clear, professional, and error-free.

  • Handling event arrangements and logistics: This includes ensuring all details are taken care of for the efficient and smooth execution of events to include set-up, tear down and everything in between.

  • Ordering and maintaining office supplies: You'll keep our office stocked with everything we need to run smoothly.

  • Assuring that the building and equipment are in good working order: You'll submit work orders to the maintenance and IT departments and follow up as needed.

  • Maintaining data management systems: You'll operate independently to assure accurate and timely input for a variety of data programs.

  • Supporting the director with financial documents: This will include coding, tracking, reconciling, and reporting to assure grant expenditures and budget balances.

Skills, Knowledge, Equipment & Other:

  • Strong organizational skills and a keen eye for detail

  • Excellent communication and interpersonal skills

  • Strong understanding of Microsoft and Google programs. Must be able to learn and navigate technology efficiently.

  • The ability to prioritize tasks and work independently

  • A positive and professional demeanor

Requirements for Essential Functions of the Job:

Physical Demands: While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel. The employee frequently is required to stand, walk, talk, or hear. The employee is often required to sit; reach with hands and arms; climb or balance; stoop, kneel, crouch, or crawl; feel or smell. The employee must occasionally lift and/or move up to 50 pounds from floor to waist, waist to overhead, waist to floor and overhead to floor. Specific vision abilities required by this job include close vision, distance vision, depth perception, and the ability to adjust focus.

Work Environment: While performing the duties of this job, the employee must be able to work in a school setting. Travel occasionally; be exposed to wet and/or humid conditions; outdoor weather conditions. The noise level in the work environment ranges is generally quiet with occasional increase when working events or with equipment. Must be able to work in person.

Mental Functions: While performing the duties of this job, the employee is regularly required to analyze and compute. Frequently required to compare, communicate, coordinate, instruct, evaluate, use interpersonal skills and compile. Occasionally required to copy, synthesize and negotiate.
