The Aging and Long-Term Support Administration, Residential Care Services (RCS), is looking for an Administrative Assistant 3 to join their office in Lacey, WA. In this role, you'll provide administrative and secretarial support to the RCS staff who are responsible for protecting the rights and privacy of vulnerable populations.
Some of what you'll do
Provide administrative support to Residential Care Services (RCS) staff
Monitor and respond daily to emails and phone inquiries, including explaining complex rules, policies, and operating procedures to headquarters and field staff, and the public
Coordinate the search for and the location of records; scan, organize, and electronically send records
Resolve issues around receipt, submission, and time frames to ensure federal and state requirements are met
Develop, run, and analyze reports to track performance measures
Assist in the division's filing system and records management
Search, organize, scan, and link records into RCS's electronic database
Develop new and/or modify existing work methods, procedures, or strategies to solve new or unusual problems
Compose correspondence and proofread various documents
Enter data into electronic tracking systems
Prepare records for transfer to the State Records Center
What we're looking for
Knowledge of office procedures and practices, records management, business management/practices, research methods, data collection and measuring work production, inventory control, communication, and correspondence practices
Ability to work independently, read, understand, and interpret policies and procedures, develop written reports, work effectively with others, communicate effectively
Proficiency in working with Microsoft Office applications
Excellent computer skills including accurately typing at a net speed of 50 words per minute
Ability to multi-task and prioritize workload, meet time requirements for submission of data, and operate standard office equipment; such as printer, copier, fax machine, and multi-line phone system
Who should apply?
Professionals who have a high school diploma or GED, with three years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work.
Formal education and/or training in office or administrative occupations, bookkeeping, or accounting will substitute year-for-year for the experience.
