Position Overview

Position Summary

Working closely with the Associate Vice President of Advancement and the Associate/Assistant Director of Stewardship and Donor Relations, act as an administrative partner focused on donor engagement and stewardship for the Eastern New Mexico Foundation.

Requirements

Duties and Responsibilities:

  • Act as the office receptionist and answer phones. Greet and direct visitors.

  • Assist clients and students with varied requests.

  • Reporting directly to the Associate Vice President of Advancement, perform administrative duties in support of the Associate Vice President for Advancement and the Associate/Assistant Director of Stewardship and Donor Relations.

  • Verify prospect information, coordinate and execute mail merges, seasonally coordinate the flow of scholarship documents utilizing CommunityForce software, scheduling events, meetings, and travels.

  • Provide support to the Philanthropic Processing and Accounting Specialist and be open to cross-training to learn gift processing utilizing Banner.

  • Ensure the integrity and confidentiality of sensitive information.

  • Supervise student employees and oversee the student-employee budget.

  • Enter data, compile and type reports, prepare letters and general correspondence

  • Responsible for scanning and archiving office documents. Training student employees to assist with scanning and archiving

  • Perform other related duties as assigned

Minimum Job Requirements:

A high school diploma or GED certificate and a minimum of six months of experience directly related to the duties specified are required.

Knowledge, Skills, and Abilities:

  • Ability to perform routine and moderately complex clerical tasks rapidly and accurately

  • Demonstrate aptitude for new technology, platforms, and software applications, including effectively utilizing resources such as user manuals, online tutorials, and training sessions to become proficient in new software

  • Skill in the use of standard office equipment

  • Ability to understand and convey procedures and regulations established

  • Ability to maintain confidentiality of records and information

  • Ability to support and assist team members during peak times or when special projects arise

  • Skill in word processing and data entry

  • A commitment to the confidentiality of sensitive donor and constituent information

  • Ability to maintain an effective working relationship with others

Ability to communicate effectively, both orally and in writing

Working Conditions

Physical Demand and Working Conditions:

  • Work is performed during normal work hours but may require some evening or weekend hour

  • Work is sedentary in nature that at times requires exerting up to 25 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects.
