About This Opportunity:

The Documentation Specialist processes new documentation requests, manages various document control processes, oversees the Document Control department's standard procedures and processes, and provides support to internal customers. Continuously identifies and implements process improvement opportunities within the role and across the Document Control department.

  • This role offers a remote work schedule. Applicants must reside within a commutable distance of our San Marcos, CA headquarters for quarterly meetings.

Essential Functions:

  • Reviews incoming Manufacturing Change Order (MCO) requests to ensure accuracy and completeness. Updates the document management software and assigns the MCO to the data configuration processor.

  • Manages various quality and manufacturing document control processes, including Deviations, Print Requests, Tip Sheets, Mold Qualifications, Supplier Part Qualifications, and Weld Setups.

  • Oversees creation and maintenance of standard procedures and processes for Document Control department. Collaborates with department subject matter experts to understand and organize required information to create comprehensive documents such as SOPs, work instructions, forms, and flow charts.

  • Uses technical writing skills to create new documents or edit existing documents. These documents will incorporate visual aids, such as screenshots and images, to clearly explain procedural steps and will conform to established standards and formats. Edits and proofreads new and revised documents for grammar, clarity, consistency, and accuracy.

  • Performs user testing of new and existing standard procedures and processes to evaluate effectiveness and adjust as necessary.

  • Monitors software and document management changes and integrate updates into affected departmental documents to maintain their relevance.

  • Responds to both internal and external team member inquiries related to document management software as well as document control processes and procedures.

  • Manages the Hunter Product Responsibility list by requesting, updating, and distributing the latest information to internal associates.

  • Identifies process improvement opportunities within area of responsibility and collaborates with team members to identify these same opportunities within the document control department.

  • Provides backup support to the Document Control Systems Administrator.

Education/Training Required and Preferred:

  • Associate's degree or equivalent education, or a combination of education and relevant work experience.

Experience Required and Preferred:

  • 4+ years of experience in document control or a related field within a manufacturing organization.
  • 1+ year of technical writing experience and knowledge of manufacturing business processes and documentation requirements.

What You Bring:

  • Must be intermediately proficient with Microsoft Word, Outlook, Excel, PowerPoint, and Adobe Acrobat.

  • Demonstrates strong technical writing skills, with the ability to write, design, and edit processes and procedures, including Standard Operating Procedures (SOPs), Work Instructions, forms, spreadsheets, and flow charts, incorporating visual aids as needed.

  • Strong editing and proofreading abilities.

  • Skilled in identifying areas for process improvement and implementing enhancements.

  • Ability to review and accurately document processes, supported by strong listening skills that facilitate effective understanding and interpretation of information.

  • Ability to comprehend and follow instructions, short correspondence, and memos.

  • Excellent verbal and written communication skills, with the ability to express ideas clearly and logically, facilitating effective collaboration with team members and other company members.

  • Ability to work independently and collaboratively within a team, providing support across departments.

  • Strong attention to detail, commitment to producing accurate work in a timely manner.

  • Proactive nature with excellent organizational and time management skills, demonstrating the ability to adapt to changing organizational needs.

  • Experience with Document Management Software such as MasterControl or equivalent is preferred.

  • Must be willing and able to work overtime when needed.

  • Bilingual in Spanish and English is preferred.

The hourly rate for this opportunity ranges from $21.90 - $34.30

The Company complies with all federal/local/state regulations in regard to pay. The above represents the expected hourly range for this job requisition. Compensation offered to the successful candidate will be determined by qualifications, prior experience, other job-related factors, and geographic location.
