The Henry M. Jackson Foundation (HJF) is looking for a Documentation Specialist, to support the US Army Medical Material Development Activity (USAMMDA) in the Regulatory Operations Branch at Ft. Detrick, Maryland. HJF provides scientific, technical and programmatic support services to USAMMDA.


  • Maintain accurate and complete sponsor regulatory files for medical products

  • Compile accurate copies of the sponsor regulatory files for products

  • Assess the current paper and electronic regulatory records; interface with personnel to determine needs and requirements; and develop a plan for improving the overall quality and completeness of regulatory documents; this plan will include transition of all files to storage within an electronic document management system

  • Be responsible for executing the plan developed: accomplishing the organization and completion of complete paper and electronic regulatory files for medical products according to applicable regulations and policies

  • Evaluate and develop plans for storage and organization of project management documents

  • Arrange and coordinate the storage and retrieval of important files and regulatory documents, including regulatory filings and correspondence, clinical files (i.e. clinical trial master files), nonclinical files (e.g. study reports, lab notebooks, specimens), manufacturing files, and other relevant files


  • Experience in FDA-regulated documents and use of electronic document management systems.

  • Basic understanding of the roles and responsibilities of all parties involved in the development of medical products (drugs, biologics, and devices) and 21 CFR Parts 58 and 312 regulations, OECD principles and ICH guidelines (ICH E6) associated with the management of essential non-clinical and clinical records

MINIMUM EDUCATION: A Bachelor's degree is preferred with 2-4 years of related experience

Supervises and helps with the installation of equipment and cables for optimal system performance. POSITION DUTIES Provides advice and guidance to lower-level Computer Network Specialists on the resolution of complex problems in planning, integrating and maintaining software and hardware school wide computer network, including operating systems software and network communications software issues. Install and configure computer network equipment and devices including workstations, printers, servers, hubs, cable, and other hardware. Install and configure network and workstation operating and application software. Implement procedures for monitoring and maintaining network performance including troubleshooting equipment, software, and communication problems. Maintain network administrative functions including access privileges, user login, passwords, software and hardware inventory, and data recovery plan. Provide technical support to network users in the use of equipment and software. Maintain and recommend for purchase hardware in computer labs. Work involves special physical demands such as lifting 50 pounds or more, climbing ladders, etc. MINIMUM QUALIFICATIONS Education: Bachelor's degree in computer information technology, management information systems or other information technology related field, to include course work in local or wide area computer networks, from an accredited college or university. Experience: Two years of experience planning, integrating and maintaining software and hardware for local or wide area computer networks. Notes: 1. Candidates may substitute completion of high school or high school equivalency certificate and eighteen months of experience converting data from project specifications by preparing program code using generally accepted computer programming languages or other developmental tools; planning, installing and maintaining data communications network lines and devices; or evaluating, implementing and maintaining computer hardware and software for the required education. 2. Candidates may substitute completion of high school or high school equivalency certificate and fifteen credit hours from an accredited college or university in systems analysis and applications programming using generally accepted computer programming languages or other developmental tools for the required education. 3. Candidates may substitute completion of high school or high school equivalency certificate and completion of a certification program in Network Administration, such as Certified Novell Administrator (CNA), Microsoft Certified Product Specialist NT 4.0 Administrator or equivalent certification program for the required education. 4. Candidates may substitute experience in one of the following areas on a year-for-year basis for a high school education: operating computer systems, scheduling, controlling input and output or maintaining backups or data storage, processing data on computer systems, evaluating, implementing and maintaining computer hardware and software or converting data from project specifications by developing programs using generally accepted computer programming languages or other developmental tools. 5. Candidates may substitute U.S. Armed Forces military service experience as a commissioned officer in Network Analyst classifications or Network Integration and Management specialty codes in the Information Technology field of work on a year-for-year basis for the required experience and education.
