As an Independent Bank Document Specialist you will perform a variety of complex clerical, analytical, and customer service functions relating to loan documentation, collateral perfection and disbursement.
Perform a variety of complex clerical, analytical, and customer service functions relating to loan documentation, collateral perfection and disbursement. Operates in accordance with established Commercial Loan Policies, Procedures and applicable Federal and State regulations. Reports to Assistant Vice President, Commercial Loan Documentation Manager.
Receive and log completed Loan Approval/Problem Credit Report/Extension Request. Complete "Documentation Checklist" identifying all documents required for closing. Independently prioritize work flow to maximize production turn around and minimize administrative delinquencies.
Notify Loan Officers of pending items needed to process file according to established policies, procedures and regulatory guidelines.
Order supporting documentation and monitor receipt.
Order and review collateral support documents such as title commitments and UCC searches. Provide documents to remove title/UCC exceptions as needed.
Collect and review entity verification papers
Confirm appraisal and/or environmental reports are completed with appropriate review/sign off (subject to regulatory compliance).
Obtain pay-off statements and/or terminations with the loan officer and title company examiner/closing department.
Prepare loan documents and review for accuracy and consistency with approval requirements and make corrections as needed. Ensure compliance with regulatory issues including but not limited to HMDA, CRA, Flood, Regulation O and Regulation B.
Assemble customer and loan officer closing packages. Coordinate title company/outside legal counsel closings.
Prepare disbursement checks or wire transfer request form and general ledger entries to loan control. Obtain proper approval signatures pursuant to "Wire/Official Check Authority Chart" as established by the Bank's Board of Directors.
Subsequent to loan closing, send legal documents to Ionia (according to imaging procedures)for booking.
Review and image documents to Image Centre.
Coordinate exception management including but not limited to the independent identification documentation exceptions. Review and approve documents submitted for exception clearing.
Assist with training of junior staff members; other duties as assigned.
Review Documentation Specialist(s) completed loan closing documentation packages for accuracy prior to releasing loan documents for loan closing.
